Bad Gateway: Set content approval status Status 500 - Trigger flow from Power Apps

Hello,

I have an approval flow for SharePoint list, which is triggered by Power apps form in SharePoint.

The flow runs great until the Set content approval status. I have error :

"status":500,"message":"Access is denied

 But when I run it as owner, it doesn't fail. I've come to the conclusion that the problem is with the other users and their access. I don't want to give them full control. Is there a different way to fix this?

I also don't have Run-Only user option, since the trigger of the Flow is Power Apps.

 

I had the same flow before but with different trigger (when item is modified with conditions) where the requester of the approval was always me as owner, no matter which user has actually requested it and it ran OK. But after I created the flow with Power Apps trigger, the requester is the user who actually requests the approval. I have tried to add me as requester in the advanced options of the action (Start and wait for approval), but it didn't work.

 

Would you please advise how can i fix this issue.

I have figured out a workaround.

Since Power Apps trigger runs in the environment of the user, I have created a separate flow with trigger When item or a file is modified, so it can run in the owner environment.

In my initial flow I have a column with sign off status, which is updated when approval response is sent. I have also created an additional column with request date, response date and approve name, and hid this column from the list view. 

In my second flow I added steps to check if field Sign off status is changed to Approved and if yes, I add Set content approval status and in comments added the dynamic content from my hidden column with response details.

I also have a separate flow to break permissions inheritance on item level after approval, so the users can,t change the items afterwards.

I hope this would run smoothly.

To update the Content Approval status the user's need the Approver Permission level.  They do need more than Contribute or Edit, but as much as Full Control.

Thanks for the reply @Pstork1 . Unfortunately I am not able to grant the users full control as per the organisation requirements. I need to find a workaround

As I said, they don't need Full Control.  But they do need more than Edit.  There is an Approvers Permission Level.  You can also use Design permission level. That's what they need.  Your only other option is to design the approval flow to use an automated trigger.  flows triggered by a Power Apps button run in the security context of the user pressing the button.  Flows triggered automatically run in the context of the maker of the flow.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
