Best practice to look at one SharePoint list, match the contents of an item to another list, and pull information from it, you can follow these

I am working on a flow that starts from a form, and then the contents for the form are placed into a SharePoint list. If the name of a product on this form matches the name of a product on my pricing list, pull all associated information. Right now I am using replace, but I think there has to be a more streamlined way to do this that would allow me to make changes in the SharePoint list, and the flow to continue to work properly. I am not very versed in JSON. Once my flow has the information from the pricing list, i have an action item to populate a word template and save. Any help would be appreciated. Also, I have used the replace to try to remove the [,], and " from my outputs but they are still in the first SharePoint list after the test run.

My mistake was a very simple one. I was attempting to enter the JSON action as an expression. Now, I have added the compose action to check the output, and it returns the exact information that I entered into the JSON compose action. THe outputs are listed below. Can you advise what I may be doing to cause this?

I want to thank you for all of your help. The test is still giving me issues. I think the issue that I was facing before was that I didn't add it as a formula. Can you please review this and make sure my expression is correct?

@ChrissyRamirez The expression is incorrect as the Compose action stores a key. You want to specify the key (these are the keys) of the value you want returned.

Your expression should look like this:

outputs('Compose_-_Product_Codes')?[key–dynamic content from the form]

You need to replace the blue text with the dynamic content from the form. If you have multiple questions that need to return a value from your product code key, you need a separate Compose action for each output selected from your form.

The compose action t above is for the product key. Can you confirm that you are saying that this is not the correct way to enter the key into the compose action? 

 

I used the below expression to pull the product key for the installation/ training

@ChrissyRamirez Since the Compose action didn't return anything this means that the key is probably not a match can you please add a Compose action above your product key and store the dynamic content you are using in your expression? This way you can confirm the output of that dynamic content.

@ChrissyRamirez It looks like you have an extra space at the end of your text. However, in your key you do not include a space before the closing quote mark. This is why nothing is returning. You can either add an extra space before the closing quote mark in your key, adjust your form to remove that trailing space or wrap the output from your form in the trim() function. This will remove any spaces at the start/end of your form response text.

@creativeopinion I wrapped the compose - installation Training Product Code in trim. It returned the name of the product instead of the product code.

@ChrissyRamirez It looks like the Kiosk options is a multi-choice field correct?

 

I understand that you want to output the values from your Product Key—however, I need clarity on how you want to display those values. Can you confirm the format required for the output? Do you need an array? A comma separated string?

Kiosk options and desktop options are multichoice fields. However, I have attempted to separate them in the Option 1, 2 and 3 compose actions. I need them to show separately. 

@ChrissyRamirez Can you provide insights on why you need to show them separately? Reason I'm asking is that you'll never be able to know how many options are selected—it's not an ideal set up as some of your Compose actions may be empty. 

I assumed that I would need that in order to match the Product code to the product codes listed in my master pricing list, to return the description and pricing. If this is still possible, I don't have to have them separated. 

@ChrissyRamirez You don't need to separate them to match to your product codes. First you need to parse your multi-choice response. The Get Response Details action will return the selected options in a JSON formatted string.

In my demo flow I have the following Compose action with a Key.

You'll need to add a Select action to your flow and insert an expression to parse the response. Use the json() function.

Click on the Dynamic Content tab and insert the dynamic content from the form that is storing your multi-choice response.

Insert an expression, start with this:

Place your cursor at the start of the expression by pressing the UP arrow key. Click on the Dynamic Content tab and insert the output from the Compose action storing your key.

Run a test. Review the output. You should see the original choice selections in the Inputs box, the Outputs box should contain the product codes.

The expression used essentially does the mapping for you—this is why it's important that your keys match the output of the selected choices. For example, If Multi-Choice Option B is selected, Custom Text 2 will output instead.

 

However, if the output of my multi-choice field is Multichoice Option B, there isn't a match—nothing will output.

To convert this array of selections into a string of text, you'll need a join function. In the From field, insert the output from the Select action. In the Join with field, insert a separator. This can be anything. In my case I inserted a comma and a space.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
