Changing Sent From Default Address

Hi,

 

When a flow step is completed I have a condition that sends an email to a user specified, determined by a  sharepoint list value.

 

But unfortunately, no matter who initiates the workflow, the "From" field in the recieved email always defaults to my Name (im assuming because I created the flow).

 

I want each step to use "From" as the person completing the step. I have tried to configure the Condition and tried to set the From value to use the List value but this alway causes the email to fail and the users assigned dont recieve any notifications.

 

Anyone know how to resolve this issue?

Sorry badly written sentence regarding "no matter who initiates the workflow". What I mean was that when the Workflow is initiated when a condition is met, in this case a new item is added to a sharepoint list using the Form.

You cannot actually send a mail on behalf of any user.  You can only send a mail from the account that you are using to send mails.  What you can certainly do, is to add some text to let the recipient know who updated the sharepoint list.

Thanks for your reply. I assumed because the Assignee email address is available to use that it could be set on the "FROM"  field shown in the advanced settings of each email step. Otherwise why would it be there?

 

So is it possible to assign a different account as the owner of the flow? This would ensure that communications at least come from the right place, and not the designer by default.

Anyone have any feedback on this?

 

I cannot see an easy way to change the default notification email from my address so all notifications look like they are coming from me. I cannot publish this Workflow until this issue is resolved but I cannot find a solution on the forums.

Hi @Anonymous,

 

Just as told by @SameerCh, currenlty Microsoft Flow can't modify the From fields when sending emails.

Microsoft Flow uses Connections when adding a new Action, connections are used to connect to the data source, where we could get data from or send data to.

For new connections, we need to specify the user credentials, and currenlty this part can't be set as an input value within the Microsoft Flow.

Besides, could you please share some details regarding the sentence below?

Based on what I know, currenlty Microsoft Flow can't be shared with the others, so I am a little confused here.

We can use PDL email and add same in Owner list in Flow,  which can used as FROM address for routing mail. 

It will send email using the PDL mail address which solve the issue.

Quick correction on my post. it's Process mail box not PDL.

Does the last response mean there is a way to do this?  I do not see a FROM field on my Send Approval Email section of my Flow.  The emails that it sends out puts my name in the FROM field of the email.  I would prefer it be the server name or something else that I set like it does in Designer.  Does anyone know to achieve this?

Same requirement here: when, in my case, an item is created in a Sharepoint list, an e-mail should be sent from the user that updated the list. I put the 'Created by' of the Sharepoint list in the 'From' field in the e-mail, but it is always sent by my address (as owner of the flow).

 

I added a 'Get User Profile' action in between, fetching the profile of the person creating the Sharepoint list item and then used the profile E-mail address in the 'From' field, but that also didn't resolve it.

I've achieved this by using "Created by Email" in the From (Send as) field.

 

The only issue though is the need to add that user to your organisational users as Send as. For example we have 1 global admin account that we use as a service account, and this was used to create the flows. This user account also has send as on our users, and so it's able to send any of the flow emails as if it was sent by the original user.

Unfortunately (or fortunately), you cannot arbitrarily send an email on someone's behalf. The account you are using for sending the mail need to have the right premission to send email as (or on behalf of) the other person. You can achieve this, as pointed above, by using some service/admin account that has the right permission to do so.

In my Flow, I have users entering in information for an alert system. The list with a field called "Originator" and I added that field (Email) to the "From (Send As)" field under advanced settings. It seems to have worked in my case.

@RoccoCastellano could you please give more information on these advanced settings, we are having a field where user enters their information(email). But we're unable to see "From (Send As)" field under advanced settings, trying to implement this, any help is appreciated.

@RNG the Send As option definitely seems to have disappeared since this thread was started but I think the new approach is to change your Office 365 Outlook connection to the email account you want to send from.

There is 2 diffrent send email actions in flow.

 

The newer 'send an email V2 (Preview)' action does not have the send as option but the original 'send an email' action does.

the below solution worked for me:

 

Scenario: I created a flow with a mail. By default, the "from" address will be my mail id. But i want the mail to be send from another user's id, and I don't have "send as" privilege for that user

 

1. Share the Flow with the other user using the "Share" button"

2. From the other user's login, make a copy of the flow using "Save as" option

3. "Turn on" the Flow. By default, it will be in off status

4. "Turn off' the Flow in your login

Is it possible to send the flow from a Microsoft Teams channel email address? 

No it's impossible.

This thread is quite old and I don't see the solution here, so I'll add it.

There are three methods now, all presented in this article written in Sepember, 2020:

3 ways to change email sender address in Power Automate

 

  1. Use the newer ‘Send an email notification (V3)’ to send on behalf of ‘microsoft@powerapps.com’ address. (I don't have this option, either because my company hasn't added it to our tenent, or it is no longer available.)
  2. Create a shared mailbox (this is what I use).  Flow owner must have send delegation for this shared mailbox.  Then ‘Send an email (V2)’ has advanced options to change the sender address.
  3. Use a Service e-mail.  Only folks in your IT department may have access to this solution.

Hope this helps for anyone who stumbles on this thread like I did five years later.
