Compose email from sharepoint list items and attachments

Hi All,

 

I'm seeking some help as i'm now going bald from my flow failing.

 

I currently have a flow for when someone submits an MS form the data goes into a sharepoint list. What i then want is when the file uploaded from the form is saved into the correct sharepoint folder to compose an email including some items from the list and the attachment from another folder.

 

I cannot get this to work and any help would be greatly appreciated.

Hi @Price83 

 

Basically you need to use "Get File Content" option in your flow. Which expects the path of the file ( in your case attachment stored in a folder of a SharePoint document library ).

Here is a post from my blog on how to read the file from a SharePoint folder in flow. In this example, i am grabbing an image and sending it as a attachment in Send Mail activity.

@PURNA429  ok so i can get it to add the attachment but i need it to also link the list details for the email body but it keeps failing asking about an array.

 

I know i am missing something for the body text but i get see what.

 

for some reason it says i cant upload images to the forum

ok i now have it working but it is sending about 13 emails rather than 1, is there a way to stop this?

Hi @Price83 ,

 

Use "Compose" Action in your apply to each loop and append the email addresses and store it in to a array /string variable.

Then use this array/string variable outside of your apply to each loop to send an email.

 

Here is a sample post from my blog in which i used "Compose" action inside apply to each to concatenate (append) all the customer email addresses in to a variable and sending email out side of apply to each using this variable in to "To" address.

I now have the flow working to get data compose email and add attachment however it sends an email for each entry in the list rather than just the new one created each time. so it sends 15-30 emails rather than just 1 for each new entry

It is possible. One option is, add one more column to your list of type boolean with name "EmailSent" and keep the default value as "No". Once you send the email, update this column value to "Yes" using Update Item action.

In your GetItems query, add a filter like "EmailSent eq 'No'".  That way it only brings the items for which the email is not sent.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
