Copy Planner Tasks into Sharepoint List(Create and update)

Hi all,

 

I hope you doing well and Safe,

 

I am trying to create a Flow to copy all planner tasks details into a sharepoint list(in order to create a Power BI dashboard), but without no success,

  • Create sharepoint item when new task in planner created( copy all task details)
  • Update the existing sharepoint items with any changes happened to the task in planner(with no duplication)

If so, I think the Export plan to Excel is the best option since you could use the data as the Data source to create the Power BI report.

Use format as table to format the data in the Excel sheet.

You can replace the exported Excel file in OneDrive regularly, and then the data can be refreshed regularly.

I think the above option is more suitable for your needs.

 

In addition, if you want to get Assigned to and Bucket name, please refer to the method below.

If you want to get Description, please use Get task details action and currently we cannot get Priority.

Hi @Anonymous ,

 

If you want to monitor changes of the task, I am afraid that we could not achieve it depend on the existing triggers in the Planner task connector.

 

Please try to create the following three Flows to achieve your needs.

 

  • First Flow, using when a task is created as the trigger and create the item in SharePoint list.

  • The second Flow, use When a task is completed as the trigger and update the specified item. You need to use Task id to filter the eligible item and update it.

  • The third Flow, use Recurrence as the trigger and set the interval to 1 day.  Configure List tasks action to get all tasks and update the items in the list.

Similarly, you also need to use Task id to filter the eligible items and update them.

So the key point is Task id, you need to create a column(single line of text) in the list to record task id.

Thanks for you support, partially working,

 

the challenge is when task is created not all the tasks details pulled in, for example:

  • some fields cannot get the details for it, Asignee ( whom task assigned to), Bucket, Description, Priority
  • Completion date isn't shown on the SP list when task is completed
  • Tasks before creating the Flows not transfers into the SharePoint list Sharepoint list.pngWhen Task is Created.png

Thanks for your reply, I agreed with the Excel approach,

 

is there any chance to have the Flow do that:

  • Update the excel and the information's inside
  • create, update and delete rows and cells

I think you do not need to use Flow to update task details, you only need to export the task to Excel directly again.

I am trying to update a SharePoint person column on completion of the planner task with who the task was assigned to. I followed the directions above, but it doesn't seem to work - are you able to provide some updated advice as i notice this was from a couple of years ago

Hi, I had the same though as you did before, and still researching on solutions.

 

However, Thanks to Youtube video posted by Christine Payton, I did managed to create following scheduled cloudflow to backup my planner data into a JSON file on daily basis. I posted the youtube link here for your reference: https://www.youtube.com/watch?v=q7bkWpVczz0&t=930s

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
