Counting Number of Items On a Specific Date

Hi, I am currently working on a company test request database. I have a list, but when a new item is added I want the power automate to come up with a Test Request Number.

What I would like it to do would be have the (Customer) - (Test Request Date) - (Count Number of Items from that Customer on that date).

Both the Customer and Test Request date are items inputted in the list already, I just need power automate to count the number of specific items on that date and add a number on the end and add the new test request number to the item. All of this is on Sharepoint.

Hopefully this all makes sense. Thanks in advance.

@CheddahChase It's going to be a bit of a complex flow but it's possible.

As you've indicated, you want to return a count of the number of items from the day. So what will need to happen is that an item will need to be created. The test number will have to be updated after you return the count of items in the list that pertain to the customer.

You could also use a Get Items action with a Filter Query and count the number of items returned.

Manual Trigger

Start with a manual trigger. This way you can quickly trigger a test while you are building your flow.

Add a Get Item action. Insert an ID of an item that already exists in your list for testing purposes.

Return Dynamic Content

This is optional—add Compose actions to store the outputs of the content you'd like to filter on. In your case, Customer and Request date.

Note: My dynamic content is obviously different from what is in your list.

Get Items

Add a Get Items action. Select your site and list name. Click on show advanced options. Add a Filter query to filter items in your list that match your criteria.

Count Items

Add a Compose action to store the number of items returned. Add an expression and use the length() function.

creativeopinion_5-1695309080992.png

Click on the dynamic content tab and select the value dynamic content from the Get Items action.

Run a test.

Confirm the number of items returned.

Build your Test Number

This Compose action is also optional. Insert all the outputs from your other Compose actions to create your new Test Number.

Update Item

Update the item that was just added. Ensure you are selecting the ID dynamic content from the Get Item trigger and not the Get Items action

creativeopinion_8-1695309272718.png

Insert the outputs of your new test number in the appropriate field. For my example—I've inserted it into the Title field.

Once you've tested this out to ensure it works, you can adjust the trigger in your flow to the When an item is Created or Modified.

Ensure that you replace the ID dynamic content in the Update Item action to the ID dynamic content from your new trigger.

Hope this helps!

@CheddahChase You should use a Filter Array action in your flow. To learn more about how to use the Filter Array action, please refer to this recent YT Tutorial I uploaded.

Can you confirm if you will be adding items individually to the list or in bulk?

Items will be added to the list individually. I will check out the YT video. Thank you. I am new to this and am unfamiliar with the syntax I need to use.
