Decline a meeting if there is no text in the body

Hi, I'd like to build a flow to automatically decline meeting requests in Outlook that don't have any text in the body. I have tried a few times but I think I am stuck on trying to identify when the body is empty. I have tried the flow shown below, but it doesn't seem to reject any test meetings I send, although the flow itself tests ok. Any help would be appreciated.

If it's a Teams meeting, it will automatically generate a text message even if the user doesn't enter any description text.

If this is true, it means body is empty and you can send decline request else accept it 🙂

Hi @v-xiaochen-msft , The section where it says 'Add a description or attach documents'. My intent is to decline and reply requesting they add some information about the meeting, e.g. a purpose, agenda or objective.

Thanks @v-xiaochen-msft , I didn't think about Teams meetings, most people have that set to default on. Is there a way to identify outlook meetings that might have a teams invite but no other text?

Hi @Nived_Nambiar , no luck yet, but maybe it's because of the default Teams invites on the bottom of the emails?

Hi @Nived_Nambiar, the flow did run, but seemed to remove meetings whether they had text in the body or not. And it also went backwards through my calendar. oops 🙂

 

Does the 'is equal to' have to have a value in the condition? And can I make it so it only runs on events going forward, not working it's way back through my calendar deleting recurring meetings that I have accepted 🙂 ?

 

hm, I was following exactly this and it does not work......i get always stuck in the response action

@real_dantheman I got mine working, and also added an image to the response. It also works for forwarded messages.

hello @Webznz  thank you for sharing your details!

but still, somewhere is the bug on my end.... 😕

 

A few questions to my use case (you send me a Teams meeting invite just with the Teams details, without anything else in the body, and I want to decline with a message in the same decline response):

 

  • I use only HTML to text - to transform the HTML email body into text
  • I don't need 'get file' as you have... (?)
  • Do I need 'Compose' and 'Initiate Variable' as you have? If so, what are the details there, as I used your first example above for reference...
    • I googled and found for another use case that 'variable' was used before a 'send email' where the response text was part of it and in the 'send email' the reference to the variable was set, but this makes to me no sense.
  • In the true condition, you 'send an email' and you have a response (decline or accept)
    • I want to decline with a response, so I assume I need only 'Respond to an event invite' with a text. here I have a short reply text. 

To me it is a very simple flow, but I cannot get rid of the error in the response action 😞

 This is getting beyond my knowledge, hence why I asked for help here 🙂

The condition expressions are:

and in the response is where it adds text and you can also add a picture, if you want to. 
Co-pilot gives me the following explain of the condition:

The conditions that need to be met are:

  1. The trimmed and replaced version of the body text should be empty.
  2. The created date and time of the meeting should be greater than 5/10/2023 12:00:00 PM.
  3. The response type of the meeting should not be "Accepted".


    The "Respond to Event Invite" action is used to automatically respond to a meeting request. In this flow, if the meeting request has no body text, the action will decline the invitation and send a response email. The email will include a message asking the organizer to add a purpose, objective, or agenda for the meeting. It also includes an image generated from the file content.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
