Email to each contact on 3 different List without duplicates

Hi, 

I would like to send a email to each contacts listed on the two columns on the 3 lists. The list is organized by item and they could have same contacts on item 1 and item 2 and so on. I am failing to send email only once to a listed contacts.

Hi @Aiko_Ishigo,

 

Are all the SP list the same?

 

What you can do at the very least is to add all the email addresses to an array variable.

To do this, you must

  • Add an initialise variable towards the beginning of your flow, name it and put it as type "Array".
  • Get items from all 3 lists
  • Add an action "Append to Array" for each list (3 actions).  
  • Add the dynamic content for the email on 1 list to one of the append to array actions (emails from list 1 to the first append to array, emails from list 2 to the second append to array and so on)
  • Add a compose action
  • Add an expression into the compose
union(variables('ArrayExample'),variables('ArrayExample'))

(you will need to change the 'ArrayExample' to whatever you have named your array variable)

 

The output for this compose will provide you with unique email addresses.

Thanks for the comments. So I go ahead and created as you described. However I got an error on "Append to array variable".  I wanted to try 1 List first; the 3 Lists are essentially same. I have people input that is from directory, but not email listed there. Do you think that is an issue?

It appears that you are attempting to input the person claims dynamic content. Try just adding the person email dynamic content instead.

 

If this isn't the case, please can you screenshot your flow before running/testing?

Ok just got a hit so changed it to RFI Contact (Person) to RFI Contact (Person) Email.

Also I just noticed I need to include the people listed on another list to be included in the email, which I have no clue how I can achieve. 
 

There is something wrong with the amount of applies to each, delete them all with the append to array then start again with you append to array. When this has been added, then add your email dynamic content from your first get items. 

 

When you've got this sorted, we can look at the next step.

I realized there are 2 "apply to each" for append array variables

Even if I start over by adding Append array variables, 2nd apply to each shows up automatically after I changed the Value to RFI Contact (Person). Since there are no option to select RFI Contact (Person) Email. If I have Append to array variables with a value of RFI Contact (Person) instead of Email, it gives me a error.

In addition, I had 2 columns to get emails from 1) RFI Contact (Person), 2) Controller Test. I created parallel to pick up both; however it looks both has same contact list output.

Try this..

 

After your get items, just add a append to array. Now in your append to array, choose the appropriate variable in the drop down and in the value field, add the dynamic content from your get items of the email address (if it doesn't immediately show, there is a search function on your dynamic content section

Once you add the email, only then will the apply to each be created. 

 

Make sure you don't add an apply to each, then add your append to variable in that, this may add a 2nd apply to each within the first

I tried to add Append to Array after Get Items, but there were no email for RFI Contact (Person) Email even if I searched. so I had to pick RFI Contact (Person), which I think it is just the Dynamic content for the contact. Right after, it is automatically put in Apply to Each.

I have just done a test myself on one of my lists, this works perfectly as long as there are no null values in the email field. IF there is a possibility that the email field will be null then add a condition in that has the email on the left, "is not equal to" in the middle and "null" as an expression on the right. (ProjectManager is the email in the instance below)

Also, you will need to recreate this for all of the lists that you have. 

 

It will mean that you will initialise the array variable at the beginning then do the following steps.

 

  • Get items from list 1
  • Add a condition as mentioned above
  • Within the "if yes" section, append to array
  • Outside of your Apply to each, add a new get items for list 2
  • Add a condition as mentioned above
  • Within the "if yes" section, append to array
  • Outside of your Apply to each 2, add a new get items for list 3
  • Add a condition as mentioned above
  • Within the "if yes" section, append to array
  • Outside of your Apply to each 3, Add a compose action
  • Add an expression into the compose
union(variables('ArrayExample'),variables('ArrayExample'))

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
