Error when moving file (Word document)

Hi everyone,

 

Hope someone is able to help me with the following 😊:

 

I have a Forms form (in a Sharepoint group) where people can upload multiple files (up to 10 files of max 1 GB each). The files are saved in a standard folder on Sharepoint (Shared Documents/Apps/Microsoft Forms/etc). I want to move the files from the standard folder (in Shared Documents) to another library within the same Sharepoint site.

 

This is the problem with how I do it currently:

Currently I am using a OneDrive connectors, but these actions have a limit of (if I remember correctly) 500 MB per file, while the file upload can go up to 1 GB per file:

The limit of max 500 MB is giving me errors in some cases (when someone uploads a bigger file). That is why I want to replace the actions as shown above with 1 action: Move file.

 

Error with the action 'Move file'

It was hard to find the correct Identifier for the 'Move file' action (field 'File to Move'), but with the help of someone with more knowlegde and experience, I was able to get it to work for some filetypes (.jpg and .pdf).

 

I used this expression as the identifier (where you see 'xxx' is of course the real names of the SP site) in the 'File to Move' field:

 

decodeUriComponent(replace(items('Apply_to_each_-_move_file')['link'],'https://xxx.sharepoint.com/sites/xxx',''))

.Docx is giving me an error

When I upload different files, .jpg and .pdf are moved as I want, but the .docx is giving me trouble. When I look at the details, the link to the Word document is very different.

 

In the screenshot below (Notepad) I have placed the actual error details from the Power Automate run. Below that I have gathered the three different links (out of the Parse JSON action above) to the files.

My question to you

Is there a solution for this problem? What am I doing wrong?

That link is a link which opens the file in Word Online (instead of a direct link like the jpg or pdf ones).

 

You can reuse the sourcedoc parameter value of that Doc.aspx type link to retrieve the actual direct link via a Send an HTTP request to SharePoint action via the GetFilebyId method. I have shared this approach in one of my blogs:

Try the below for your Word documents:

 

1. Add this before your Move File (you might also want to use a condition to check if it is a word file)

This is what I did, maybe not the best solution (I'm open to receive better suggestions :-)), but it works for now!

 

Initialize variable

This is where I'm going to store the link, which is retrieved in different ways:

Apply to each

In my 'Apply to each' I first get the filename to figure out if it is a Word doc - I use several compose actions for that:

Condition

Then, if it is NOT a Word doc - set variable, but if it IS a Word doc, follow steps to retrieve the direct link:

Move file

Now that the variable is set in both cases, I can move the file (using the variable):

I almost have it working now. The only thing now for me to figure out is how to split the object (outputs of the 'Send an HTTP request to Sharepoint'. Because it's not working with the expression 'split' 😅

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
