Fill SharePoint list with other list values

Okay, I'm breaking my head over this and it can't be that hard...

Flow trigger: MANUALLY  (I saw a few solutions with 'when an item is created/modified but the actions won't work in this situation)
I have 2 lists.
One list, people added their vacation, a commission approved it, and now I want to take all the information to another list, so that 1 list contains all the info.
fe:
List 1:

NameTypeDateStartSpringDateEndSpringDateStartSummerDateEndSummerPrioDayCommentsPrioCommentsSummer
JohnSummer  01-07-202415-07-2024  SummerComment
JohnPrio    04-01-2024PrioComment
JohnSpring01-02-202414-02-2024

List 2:

NameDateStartSpringDateEndSpringDateStartSummerDateEndSummerPrioDayCommentsPrioCommentsSummer
John01-02-202414-02-202401-07-2024 15-07-202404-01-2024ApprovedSummerComment

So, actually, turning 2 or more into one row.

I tried conditions (NameList1 eq NameList2 --> Update List2) but it gives me a double loop (apply to each) and times out, or puts 1 date in all the rows in List2

I tried a Switch, but most came out emptyimage.png

Am I missing something??

Hopefully this is what you're after.

For this example, I have the following lists.

grantjenkins_0-1702168856996.png

grantjenkins_1-1702168886626.png

See full flow below. I'll go into each of the actions.

grantjenkins_2-1702168924558.png

Get items retrieves the items from Vacation List 1. Note that Get items only returns the first 100 items by default. You can set Top Count to 5000 (max) so it will return up to 5000 items.

grantjenkins_3-1702168999250.png

Select Names retrieves a simple array of Names from Get items.

grantjenkins_4-1702169066603.png

XML is a Compose that uses the following expression to convert the data to XML so we can use XPath.

xml(json(concat('{"root": { value:', outputs('Get_items')?['body/value'], '}}')))

grantjenkins_5-1702169125544.png

Select extracts out all the data for each person (Name) using XPath expressions. Below are the expressions used.

//From (Unique Names)
union(body('Select_Names'), body('Select_Names'))

//Map (see individual mappings below).

//Name
item()

//DateStartSpring
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/DateStartSpring/text())'))

//DateEndSpring
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/DateEndSpring/text())'))

//DateStartSummer
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/DateStartSummer/text())'))

//DateEndSummer
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/DateEndSummer/text())'))

//PrioDay
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/PrioDay/text())'))

//CommentsPrio
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/CommentsPrio/text())'))

//CommentsSummer
xpath(xml(outputs('XML')), concat('string(//root/value[Name/Email="', item()?['Email'], '"]/CommentsSummer/text())'))

grantjenkins_6-1702169392885.png

Apply to each iterates over each of the items from our Select.

grantjenkins_7-1702169419721.png

Create item creates an item in Vacation List 2 for the current item. It uses the following expressions.

//Title
item()?['Name/DisplayName']

//Name Claims
item()?['Name/Claims']

//DateStartSpring
item()?['DateStartSpring']

//DateEndSpring
item()?['DateEndSpring']

//DateStartSummer
item()?['DateStartSummer']

//DateEndSummer
item()?['DateEndSummer']

//PrioDay
item()?['PrioDay']

//CommentsPrio
item()?['CommentsPrio']

//CommentsSummer
item()?['CommentsSummer']

grantjenkins_8-1702169681915.png

After running the flow, we would have the following output in Vacation List 2.

So you should only need the first get items action for the loop. you can get rid of the second get items action.

In your apply to each loop use the update item to try and find if the item already exists in the second list. If it does you update the item. if it fails do a second action of add item with the configure run after to be if the update file fails (no such item exists):

Henderson87_0-1702073824530.png

That's not going to work, because I need an ID for the 'Update Item' action. Hence the second 'Get items'

And can you please use the classic designer? This one is not so clear

@R03l4ndNL89 What are the Column types for Name and Type? For example, is Name a Single line of text or a Person column. And is Type a Single line of text or Choice column?

Also, will Name always be unique for each person? Example, we could have two different people called John.

Also, are you looking to insert the data to the second list (add a new row containing all the information), or would there potentially already be a record for John (for example) and you needed to just update the data?

I work with these columns

  • People picker (And I have two options, I can start with a blank list nr 2 or pre filled with unique users, so a name can exist multiple times in list 1, but not in list 2
  • Date/Time
  • Choice (Only for the type, but that is not necessary on list nr 2, so that can be blank or single line of text)
  • the rest is single line

Hopefully this is what you're after.
