First Flow

Hi,

 

Looking to build only my 2nd flow (first was quite basic). I'm looking to see if it is possible, and if so.. how?

 

I'm part of a charity football club who are looking to automate as much of our processes as possible, in particular with new player registrations.

 

Is it possible to build a flow which sends a "welcome to the club" email which contains a welcome back PDF when a new response is triggered. The email address to send too would of course be an answer within the form.

I have tested it with a PDF and it opens and displays the images in.

Welcome to the fun world that is Power Automate, that some of still call Flow because we are old school.

 

Yes you can do what you want to do.  Can you please let me know what you are currently stuck on and I will try and help.

Hi Andrew,

 

I actually have tried to do some research and I am thinking it may be quite complex.

 

Firstly within our form we ask players or parents which team they are registering for (we have multiple options)

There is also another part of the form which asks them for their email address.

We want to email this email address with a specific email along with an attachment (or a link to a file) for each individual team.

Hi Aaron,

 

Thanks for the responce, what I surgest you do is to setup a database in SharePoint, that has the same fields as your Form.  The fields in the SharePoint list should not have any spaces, so for instance First Name should be FirstName.

 

Then use the following as start for your flow:

I would suggest that you need to setup a new SharePoint site for all of this registration process.  I would name it PlayerData or whatever you want to call it.  The new SharePoint List should also be stored in there.  I will leave you to think of a name for the SharePoit list.

 

You will need to uplaod your Welcome Pack PDF to the Document Library in the SharePoint Site.

 

So if you can get all the above done we will work together on the complicated bit to get the file attached and send the email.

Thanks Andrew! I couldn't get your link working but have found another link and I have almost cracked it.

 

I have the flow set up as below:

The issue I have now is when the email sends the PDF pulls through as a blank PDF with the correct number of pages.

Can you please change the flow designer to the classic view before you copy and paste the screen grab into your responce.  Then adust the snip to fill the whole width of the screen.

 

I think we can solve this quite easily I just need to see the prt of the flow requested.

 

I shall nto be able help you in five hour time as I am going out.  It is 1315 in the UK where I am from.

Thanks that helps a lot, you have not got it quite right so I hope the below will help.

 

Go to the send email step as below and hit the red square:

This should bring up a text box which you need to type into:

Add the following basic text:

"Name": "INSERT Filename.pdf";

"Contentbytes": filecontent

}

]

The red text is dynamic and should come from the GET FILE PROPERTIES step above. 

 

Hopefully after saving and testing the flow should work and the PDF should display correctly.

Hi Andrew.

 

It worked! I changed the file name, but when I went to edit it I noticed Power Automate automatically puts the file content look up within exclamation marks. I removed these and it worked so thank you!

Good news, flow can be quite finicity at times, so do not dispare you will get there.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
