Flow Sending Multiple Emails

Hi Valued Community.

 

I am trying to create a flow that is initially triggered by receiving an email from a reporting software (Tableau). We will receive 400 reports via email per month and I would like my flow to send these reports to recipients based on a table. Each report will go to multiple recipients and there are around 1,000 recipients. 

 

My flow is sending 4 emails to each recipient. How can I fix that?

Ok, after playing with this for a while I've realized you don't need Apply to Each controls at all! Your filter in List Rows to only select relevant recipients should be enough. You're also using the Select function a little bit incorrectly, you have to make sure to hit the Map button to output just the values of each entry, then Join them with a semicolon.

 

I ran the below flow successfully

  • Delete the Apply to Each and add a new Send an email (V2).
  • Click Advanced Options at the bottom
  • in the attachments section, click the little T on the right to "Input entire array"
  • Click in the field and select the Attachments dynamic item from the trigger.

That should work!

Ok I got it working and I'm so excited!

This flow grabs the attachments from the incoming email, decodes them, and saves them to a OneDrive, then attaches them to the outgoing email from the OneDrive. If you want, you could add another action to delete the new file after the email is sent.

the expression to decode the PDF in Create File is

base64ToBinary(items('Apply_to_each')?['contentBytes'])

I tried this flow with a PDF attachment and it worked!

 

You would add the List Rows, Select and Join actions to get your Email list after the Apply to Each above and before the Send Email.

I believe the problem is coming from Apply to Each 2 and 3 not being required?

Can you move the Send an Email action out into the Apply to Each 1 control and use the output of the Join action in the To field?

That is so incredibly helpful! Thank you so much! It worked based off of the instructions you provided. 

 

Unfortunately, I also need the emails sent to also include the attachment from the original email. When I go to add that, it automatically "Applies to Each" and then I am back to receiving multiple emails. Do you know of a workaround to also include the attachment?

We are running into another issue. The flow is working beautifully thanks to your advice, however the recipients are unable to open the PDF attachments. They receive this message:

I found a video which should help, he demonstrates getting the exact same error and how to fix it.

Try creating an Attachments variable and using the Append to Array step like he does in the video, along with the Base 64 to Binary decoding step. I'm not able to test it today but let me know how you get on!

Thanks so much for your reply. I work in Higher Ed and I do not have access to use Encodian. Do you have any advice to skip this step of the flow?

I have attached a copy of my flow where I tried to not use Encodian and I am having trouble getting the Base64ToBinary to work. None of the additional inputs I use will be accepted becuase of this error:
