Flow: When a Planner Task is Assigned a Priority of "Important", Create an Event in Outlook Calendar

Currently there is no way to create this flow as the Priority does not display in the "Create Task" or "When a Task is Assigned to Me" options. 

 

I understand that the option to use Priority as a parameter is available with GetTask_Response_V3 integer but I cannot figure out how to connect this to any flow template nor call it in a new flow.

 

Any way to make this flow work?

Hi @cruss ,

 

First of all, let me know if the instructions below are not clear enough, or if you need some additional help with other steps in your flow.

 

I ran some tests here and actually you can capture the priority from the both triggers ("When a new task is created" and "When a task is assigned to me"). The priority is measured in a numeric range from 0 to 10, in a descendent order of relevance, being 0/1 for "Urgent", 2/3/4 for "Important", and so on.

 

Although there is no dynamic content to access the "priority" from the trigger, you can refer to it by using the expression triggerBody()['priority'], just like in the image below:

Here is a new task just added to the planner (with an "important" priority):

And here is the output of the triggerBody()['priority'], capturing it as 1:

So you can use this numeric range inside a condition in your flow, creating the event only for those tasks that have a priority lower or equal to 4.

I was able to do the priority variable (thanks!) but now the issue is with the Create Event part. Thank you for any assistance you can give in this regard.

 

My flow: Create an Event in Outlook Calendar when a Task is Assigned to Me and Priority is Marked as Important

 

SCREENSHOT ATTACHED and the error is:
Flow save failed with code 'OpenApiOperationParameterValidationFailed' and message 'Input parameter 'item' validation failed in workflow operation 'Create_event_(V4)': The parameter with value '"@triggerOutputs()?['body/startDateTime']"' in path 'item/start' with type/format 'String/date-time' is not convertible to type/format 'String/date-no-tz'.'.

I'm happy to hear that the priority step worked!! About the event date, you will need an expression like this:

Expression text: 

formatDateTime(triggerOutputs()?['body/createdDateTime'],'yyyy-MM-dd hh:mm:ssz')

 

Just make sure to replace the text in red for your the dynamic content of your 'Start time' (I've used the created date just to test the flow). For the end date, you can follow the same logic, but replacing the red text for the dynamic content of the due date.

 

After running the flow, an event was added to my calendar, as expected.

The flow is working 🙂 Here is the outline:

So it creates a basic event in the calendar that I can edit. Thanks for helping me with a working flow.

 

NEXT: It needs some tweaks, 

 

  • Better date structure: Most events will be on the same day, so I will put in the same day for start and finish. This is how it displayed in the Calendar - just a random date:

  • TIME ZONE: I need to set this to only display EST
  • INCLUDE THE NOTES, CHECKLIST & ATTACHMENT: Not sure if this is possible, still trying different options but no success yet

So it is a work in progress but at least basically functional right now. Thank you again and have a fabulous week.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
