Hi Mira,

This result achieve 98% left 2 % to go.

For example : you can refer below excel table

It have 3 table with "new" status and same ID. But only send to recipient with 2 table.

Can you let us know how to fix the flow ?

Adding to this, its is working if we have two table with same ID .

But not for >2 table with "new" status with same ID

You can use a switch action:

ekarim2020_0-1629027779962.png

ekarim2020_1-1629027815395.png

Note the the text for the Status in the Condition or Switch actions is case sensitive. So status 'New' will not be the same as 'new', NEW or 'nEW' etc.

Hi Ellis,

I getting below error after apply switch action.

You can simplify your flow by referencing the email column using Dynamic content:

Not entering the discussion to offer a solution, but have you considered 'softly' migrating this data to a SharePoint list?

You can then continue to update the sheet for whomever relies on the mathmatical software for its use, but have a more functional data repository to work from with such things.

It is difficult to understand from your flow what you are trying to achieve, as the flow looks overly complicated.

I would suggest that you create a new simpler flow, similar to the one below, to confirm that the basic functionality works before moving on to the next steps of your flow. In this way you can confirm that your Conditions checks are valid and that the emails are delivered to the correct recipient based on their status:, which is what the flow below will do (assuming my understanding is correct):

ekarim2020_0-1629034400720.png

As @eliotcole has suggested, a different data source such as one based on a SharePoint list may be a better option, as this will allow you to create, read, search and update your data far more easily and reliably than using an Excel data source.

Ellis

Let me add this clarification to the previous screens, for the email address. Note the expression of formula for the email address:

ekarim2020_0-1629035445321.png

In your screenshot above, the reference to the email address would be @{items('Apply_to_each_3')?['Email']}

@{items('Apply_to_each_3')?['Email']}

Power Automate may change the expression into a "column name" or something resembling dynamic content, which can confuse us both. If you know how to use expressions in Power Automate, then the I can paste the expressions to avoid any ambiguity.

Ellis

Hi Ellis,

we have testing under this condition.

"Open" and "New" status for different and same email address.

Its is still sending both table via email.

Excel

Flow

sharontung_0-1629107509561.png

Output email :

We want to only "New"" status able received with 1 table.

Please let me how to fix.

@sharontung

I would suggest to you to use List Rows Present in a table with a filter condition

Status eq 'New'

Hi Mira,

Could you advice why user will received email when email trigger.

Rule#

Only New Status will register email will receive email.

Scenario 1 - no issue if status "New" User received email when email trigger.

sharontung_0-1629122660772.png

sharontung_1-1629122701873.png

Scenario 2 - email trigger - user received email with additional information. Where by suppose user should receive 1 single line item instead of 2 line item. As 2 of the New status registered with 2 different email.

Hi Mira,

Let me share with you my current power automate flow.

I will be out of office for training on tomorrow and Thursdays.

I only left one issue currently

 Email trigger - user received email with additional information. Where by suppose user should receive 1 single line item instead of 2 line item. As 2 of the New status registered with 2 different email.  Kindly help me check and advise.

@sharontung

Please correct my understanding you have 2 rows in your Excel with status new but 2 different email addresses and each email address should receive an email with one item.. Is this scenario that I explained is correct?

Hi Mira,

You are right.  This is exactly what i wanted.

Waiting for your promptly response

@sharontung

I have worked on a sample flow for you so this is how my sample Looks Like:

Item IDItem DescriptionEmailStatus

1 Item 1 test1@test.com New
2 Item 2 test2@test.com New
3 Item 3 test2@test.com New
4 Item 4 test1@test.com Existing

Flow structure is as below:

First step we need to get only new items

Mira_Ghaly_0-1629273507277.png

Then we need to get Unique Email Ids on the returned list:

Mira_Ghaly_1-1629273833975.png

Union Expression:

union(body('Select'),body('Select'))

Now since we have the array of Unique emails we need to loop on this array of unique email ids and get the items from the excel sheet that are New + matching the  email

Mira_Ghaly_2-1629274339439.png

Parse JSON Schema:

{
    "type": "object",
    "properties": {
        "Email": {
            "type": "string"
        }
    }
}

Mira_Ghaly_3-1629274378342.png

Output will be as below:

Mira_Ghaly_4-1629274450265.png

Mira_Ghaly_5-1629274471708.png

Hope this is easy and can help you sort out your problem!
