Flow from Form to MS List

Hello 🙂

 

The general idea is for a team leader to complete a form in which he indicates the date of differents training completed by his employee. The team lead would enter the email address of his employee in a text box in form. My flow in Power Automate would then lookup if this email address is already in SharePoint List (to update the data/item), if not then create a new item.

 

Considering that there is no option to select the User Office 365 like in SharePoint List, I have created a Form in which the user must enter the email address of his employee. In comparaison, my SharePoint List uses Office 365 and displays the name of the employee instead if his email address. 

 

Do you know how I can make it happen ? How can Power Automate compare and email address from a text box (form) to my Employee's column in SharePoint List ?

 

Here is my flow, which runs (green check marks everywhere) but my SharePoint List does not update. I think it might be because there are upper or lower cases somewhere, but I have not been able to figure out where/how to put the formula for that (and if it's the issue).

Hi, apologies, to clarify, are you referring to left side of the EQ or the Right Side.

 

The left side should be the name of the Column, but usually, for instance if its called My Column Here

I would do this

[My Column Here], not use the column full name (schema syntax), but you can technically do either. But it is correct to have the Column Name on the left. It automatically leverages the data of the column when you put the name in. I guess you could try doing it how I just did with the [Brackets and leave spaces like this]

 

So if that is the correct column and if the Data in the Dynamic property is truly a value IN that column then we have some other issue.

 

Unless... ok I am tossing out a thought and it could be nothing. Since I dont think you are using the English Character Set. I wonder if Cap/Lower case letters, do in fact cause them not to match. Even though the eq FILTER is not case sensitive (per se), maybe it is when its other languages because of possible additional details that are using in the character sets. I haven't heard of it as an issue. but maybe.

Hi @Audrey2 

 

1. In your flow, can you put a compose above the Filtered action, and validate what the Email Address is. Like you

said they are typing it in.

I'd like you to manually verify whether there really is a matching record.

 

2. Just after can you add a second Compose and put in the 

length(Add the Dynamic Property value from your Get Items)

I want to see if it believes it returned anything

 

But the eq (filter expression) is NOT case sensitive, so if they type exactly what the user has it should work.

 

3. Just be 100% sure that you have the right list being filtered on in the Get Items. I mess it up all the time and then it doesn't work and I don't initially know why.

Hi !

 

Thank you for your quick response, it's really appreciated. I did what you asked and with that, I could figure out where my issue was. The filter query in my get items is comparing the name of the column instead of the content of the colum (even tho I went in my sharepoint list and took the name that was next to the = symbol in the url). 

 

Do you know what I can do to fix the issue ?

 

As well, I changed the condition of lenght(...) to empty(...) and it works for that part.

Hi !

 

The trick worked perfectly. Now my items are modified and it's great 🙂 

New problem... In case my condition is false, it states that the flow is working (green mark) but a new item is not created in my sharepoint List. 

 

With the modification, here is how it looks like now :

Can you do me a favor and mark the other answer as Resolved for that issue please and we can move on to the next one.

 

So for the New Issue,

Can you show me a flow (like the Run itself, can you please take screen shots) where it was false, and you said it didn't create a Row.

 

Did it go to the No section and fail? or did it Go to No and it says it worked (green check mark) but you do not find a new row in the SharePoint list?

 

If you can share the images and any error we can move to that one.

Hi, 

 

Sorry for the delay, I didn't have access to my computer during the weekend. 

This morning, I realised that my flow is not fully working. I can edit an existing item (condition = yes) but I cannot seem to be able to create a new item in my MS List. My flow appears as a success but the item is not created. Here is the result:

I tried as well to put in « employee claims » the following

but it doesn't seem to work either.

I changed the condition « empty » for « lenght » and it works now perfectly.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
