Flow sends duplicated emails - Send an email from a shared mailbox V2

Hi,

I built a flow that is sending automatic email when status of the Item in the Sharepoint List is changed to "Ticket to be sent".

There's a condition that is checking the status value and then another condition checking if the item has attachments.

If there are attachments flow sends an email and then after 3 minutes another one which is slightly modified. If there are not attachments flow is sending emails without the files. 

 

Everything works perfectly, apart the fact that flow is sending duplicated emails: it sends almost immediately the same 2 emails and after that it sends 2 duplicated emails. So to sum up, it should be sending 2 emails but it's sanding 4.

 

I'd appreciate any help with getting rid of duplicated emails. It only started a few days ago, I didn't change anything in the flow and suddenly it started sending double emails. I also checked with users and they're not changing the status more than 1 time.

@Bartek97 I don't see how you would be getting duplicate emails then as your email actions aren't inside an Apply to Each loop.

 

Could you check your Message settings in Outlook? If you have Group into conversations selected, it can look as though two emails are sent.

However this isn't the case, the top item (with the chevron (arrow)—is the group) as you can see there is only one email.

If you change the Message settings to Show each message separately it will display each message separately.

Note how the email below doesn't have a chevron (arrow to the left).

@Bartek97 The reason why duplicate emails are being sent is because of where the Send an Email action is in your flow. 

 

It's nested INSIDE an Apply to Each action. This means if your item has more than one attachment—it will send an email for each attachment (as it's looping through each attachment using the Apply to Each action)

thank you for providing the links, it's very helpful.

 

I modified the flow as below and got rid off Send email action in Apply to each. However, it still send duplicated email even when there's only one attachment.

Additionally I can't convert dynamic column from sharepoint to String. Previously I was using this expression 

string(items('For_each')?['DYNAMIC_x0020_COLUMN']) and now I tried 
string('DYNAMIC_x0020_COLUMN') but it's not working.

Issue with content coming from calculated columns is solved.

 

However, flow still sends double emails no matter how many attachments there are: 0,1,2, or 6, it always send the same email twice.

@Bartek97 The reason you are getting two emails is because you have two Send an Email actions in each branch of your condition action.

So instead 2 emails I get 4

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
