Get Emails sub folders

Hi all,

We built a flow that is monitoring sent items folder for 20 shared mailboxes. The flow collects the emails from the sent item folder save in sql and generate some metrics.

So far so good as everything is working as intended.

But we recently discovered that the users are manually moving the emails from the sent item folder to sub folders for their email classification.

That would mean that if they move an item before the scheduled flow starts, the moved email will not be tracked and therefore reducing the accuracy of our report.

 

Is there a way we can get the sent emails even if moved to sub folders pls?

You could try "Get emails" action with the following configurations:

Set "Folder" parameter to empty so that emails can be searched from all exchange folders. This will work for exchange folders but not for local pst folder.

Set "Fetch Only Unread Messages" to No as when users drag to sub folders the email's status may become read.

In "Original Mailbox Address" parameter, set the email address of the shared mailbox.

 

Pls retest the flow after making required configurations in get emails action.

Thank you and I am currently using the GetEmails(v3) as you mentioned and is in fact working great.
I will try not specifying a folder and see. Knowing that I am applying a date criteria in the search query field, this might take incoming emails as well for the specified date. I will test that and see

Try to change the approach - can you create a transport rule that will BCC all emails sent from the shared mailbox to a dedicated mailbox and process them there?

Welcome to my web site.

Great Idea but we finally decided to transfer the burden to the org by asking them to change their current process of moving items from their Sent Items folder. They already have a process to BCC their own Shared mailbox when sending an email. Therefore, they can do their email classification from the inbox instead. Solution that works for all of us.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
