🔔• Have only a reminder sent to the approvers that did NOT respond to Approve or Reject

Hello,

 

I have an approval flow with "Everyone must wait on responses"  with a reminder email after a day. 

 

How do I make it so the approvers that did NOT respond to Approve or Reject on get the reminder email? Currently, even if someone already approved h/she still gets the reminder.

I haven't tried to implement it myself, but this is what I found out from Flow website

You basically need three things to start with. A list of emails you will be sending the start and wait approval, a control variable that will flag that start and wait approvals are done and an array variable which you will append emails of people who have responded. With that said lets get to the meaty part;

 

After you have setup your variables, you will need a parallel branch. On one side of the branch we will add a "Do Until" action that will loop until our control variable for start and wait approvals is set to "Done". Inside our Do Until loop we need an "Apply To Each" that will loop through our list of email addresses. Inside the "Apply To Each" loop we need a condition that will check if our "Current Item" from our list of email is contained in our array for people who have approved. If the Current Item email is not included then send an email to that current item email address.

 

For the second part of our parallel branch we need an "Apply To Each" loop that will loop through all the list of emails we want to send approval requests to. Inside the Apply To Each loop we insert our action for "Start And Wait Approval" and assign it to our current item from our loop. Under start and wait we insert an action to "Append to Array" and we set the value to be our current item which is the email we sent an approval request to. Under the apply to each loop set our control variable to be true to flag that all people have responded.

 

Last and most important part for this to work is to go to settings of the apply to each that houses the start and wait approval and set "Concurrency Control" to be "On". What this will do is let each start and wait approval inside the loop to execute without waiting for the others, they will all run at the same time and will update our list of approved emails array with the email of the person who will be approving at that point until all people have approved.

I am pretty sure the action is not completed until all 3 have approved - you may be able to query CDS to see who has approved or rejected - but never tried this myself. You could perhaps do a loop and get 1 approver to approve at a time, so you know which user it is with?

Can you provide a little more detail on your process you described above?  

 

I'm working on building the same logic into my workflow approval and I'm having difficulty trying to get the "Current Item" from the array using the "Apply to each loop.  

 

I have setup the 3 initial requirements:

  • List of emails:  Pulled from manually entered form of "Approvers". 
    • I believe this is initially in a string format so I setup a variable "approversList" to convert to an array
  • Control variable: "approvalDone"
  • Array Variable: "respondersList"
    • Separate array variable that will capture responders email.

I don't think I'm setting up the control logic correctly.  Can you review and provide feedback?

Hi there!

 

Your control logic (Approvaldone) should be outside the Apply to each 7. This will break the Do until loop as your control is only set to true/done after everyone has responded. Hope this help

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
