How to auto populate phone number from SharePoint User Profile to Sharepoint List column

Hello,

 

I have a Sharepoint List with many columns (including complex types, such as lookup columns). One column is called 'Technical_Contact', which is a Person or Group type column, linked back to the company's Sharepoint User Profile/ Active Directory. The 'Technical_Contact' column shows the user's name. I would also like to show the Work Phone number corresponding to each user in the 'Technical_Contact' column in another column of the same Sharepoint list, which I have called 'Technical_Contact_Phone_Number'. The 'Technical_Contact_Phone_Number' column is formatted as a Person or Group type column too.

 

Can anyone please show me the steps required to achieve this through PowerAutomate? I have already tried adapting the methodology described here, but have not been successful in getting it to work:

PS: Below is my list (only showing relevant columns), showing the empty 'Technical_Contact_Phone_Number' column that I want to populate based on the user information from the already populated 'Technical_Contact' person or group type column.

Hi @Nicol_ ,

 

If you have configured the 'office number' of the user profile in Azure AD, you could modify this.

Thank you for your reply and advice. While I can change the Column settings for the 'Technical Contact' to show the 'Work Phone' number, as you have suggested, this then removes the name of the Technical Contact and only displays their phone number. What I want to do is to keep the name shown in the 'Technical Contact' column and create a secondary Person of Group type column that shows the corresponding Work Phone number for each person in the 'Technical Contact' column.

 

Do you have any suggestion as to how I can achieve this?

Hi @Nicol_ ,

 

Do quick edit and copy and paste from one to the other if you already has some values in the first person field.

Besides, you could create an automatic flow (When an item is created or modified) then add an action 'create item' or update item .

Thank you for your advice. In have tried both of your suggestions:

 

1) Copy and paste. This works, but only for cells that only have a single person in a cell. Unfortunately, there are many cells in my list (for over 500 rows) that have more than one person. When I copy and paste, it only copies the first person from each cell.

 

2) Creating a flow. This also has some problems. The below flow works when I use it on a List where there is only one person in each cell, but I get an error when there are multiple people in each cell (see further below). I should also point out that some cells in this person type column have no person listed, so I am not sure if this is also impacting the flow?

When I apply the same method to a different Sharepoint List which has some cells in the 'Technical Custodian' column with multiple people entered, an extra Apply to each loop automatically appears in the flow (called Apply to each 3, below).

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
