How to update SP list by using another SP list items

Hi all...

I have a question when it comes to updating an SP list based on items in another SP list. 

I have two SP lists right now (SP List 1 & SP List 2), SP list 1 contains my data that is used in my PowerApps and SP List 2 is a list that contains submitted form in my PowerApps.

 

I want to make a flow that gonna automatically change/update an item from SP list 1 based on the SP list 2 columns that contain a date. By using that date, I want to use Delay Until the date from SP list 2.


I already read the solution from https://powerusers.microsoft.com/t5/General-Power-Automate/MS-Flow-Using-a-SP-List-to-update-a-Diffe... but the solution said the need to create an ID for identifying the same items. In my SP list 2, because I know every time I submit a new form, the ID will be different than the ID from my SP list 1.

Is there a way to find the item in SP List 1 from any items in my SP List 2?

The ID is not the system ID, you could create a custom ID like PowerAppsID in the two SharePoint list. Then use the PowerApps ID as the unique ID to update the item in the other SharePoint list when one of the SharePoint list update.

To make the ID unique, you could consider use the GUID() function to generate a unique ID when creating new items in two SharePoint lists.

You could also use the Employee ID as key value of the two lists as long as they are unique.

If you want to sync the two lists, you could create a similar Flow with trigger When an item is created or updated, as long as one item in the SharePoint list update, update the other list.

Hi @v-litu-msft, thank you for your reply, I'm sorry but seems I gonna describe the whole thing.

 

The idea of why I want to implement this is because I am building an application for Leave Request. Everything is running well, but I still need a function for automatically changes the status of someone who requesting on leave (On Leave or Actively Working)

 

I get the idea from your reply that I can use the random generated ID in each SP list so every time an item is created, the Flow will use that random ID from the item then update the items from another SP list. But one of my SP lists does not change until I add or subtract the data contents in the SP list at any time, while in the second SP list is a place to store data from forms submitted from my application and this will continue to happen as long as someone submitting a leave request.

 

I was thinking if I can use the employee ID number as a unique ID because it's one of the same data between the two SP list but I still don't know how to utilize it. Is there any advice on this problem?

You could also use the Employee ID as key value of the two lists as long as they are unique.

I already try to set my Employee ID to be the unique identifier number, but I still can't set them right, I also try to search 'how to' but still can't find the right one. Can you help me give some explanation or at least the right link so I can learn from it?

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
