Is it possible to create a trigger that let's me create an event on outlook calendar based on an email information?

I was asked to do a flow that let's me create an event on outlook based on the info inside the email. The info is about the deadline of an construction, its name, date and hour. It also has attachments that should be on the event calendar as well. I have tried a lot of actions however since this is my first time with Power Automate it is giving me a lot of errors on the execution of it. Could you please help me?

Unfortunately not, in the Body section you can add a link for we are not able to add an attachment yet.

How consistent is the email that contains all these details and attachments? Are they computer generated or manually sent by people?

There's a trigger that is based on receipt of an email, you can filter the trigger based on phrases within the subject. You could parse details from the body section for the deadline details and name.

Not really understood what you want with that. The event should be scheduled with the exact dates presented in "Deadline: 24-11-23 to 30-11-23" . However, I could not proceed to do anything because I don't know how to extract that exact information out of the body of the email to schedule it all alone.

Wait a minute. You're going to do something automatically using a flow. My question was: can you show how to do that manually?

You see an initial email in Outlook Inbox. Can you create an event in Outlook calendar based on this email?

By doing it manually you just press the days you want and create the event you need.

If you do not want (or you cannot) show how to create an event manually, then you cannot create a flow and I cannot help you, sorry.

I have showed you previously. You just need to go to outlook, press the day/days you want it to be, set the time and done. Don't actually understand what you want me to show you more.

Since people are generating the email, is the format of the email consistent between each person? Does everyone use this format:

Work Permit Nº: 896/2023/DFT

Referring to: Light instalation

Deadline: 24-11-23 to 30-11-23

Schedule: 10H00M - 04H00M

 

Parsing only really works if Deadline is always before Schedule and always after Referring to. 

 

What you need to do is to split the body of your text by definable sections. For example: If you want the deadline, then you'd want to

  1. split by "Deadline:" (which gives you "(everything before this too) Work Permit Nº: 896/2023/DFT Referring to: Light instalation" and "24-11-23 to 30-11-23 Schedule: 10H00M - 04H00M")
  2. Take the last section "24-11-23 to 30-11-23 Schedule: 10H00M - 04H00M" and split by "Schedule:" to get (24-11-23 to 30-11-23) and (10H00 - 04H00M)
  3. Take the first of these within the array, which is (24-11-23 to 30-11-23)
  4. So the expression for this would be something like first(split(last(split(dynamic email body from Power Automate,'Deadline: ')),'Schedule: '))

Now my formula needs to be updated to have the correct expression for the body of the email inside. Also the 'Deadline: ' and 'Schedule: ' could be wrong if you start seeing HTML formatting come out. Update it to include what you see from the outputs and experiment around. 

 

I suggest you create a compose for each of the portions you need and you can use the compose to populate the create event task after that.

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
