Linking SharePoint ID to Planner Task

Hi All,

 

I am working on when a planner task is completed it will complete the item on SharePoint.

 

The planner task is automatically created and in the title is a string which at the very end is the ID number.

 

I created a condition using an expression to remove all the characters in front of the ID numbers, and it is supposed to equal the ID number on the SharePoint list to search for it and mark it completed.

 

However, the condition expression always comes back false.

 

I wonder if this is because of formatting issues. That in the string of text, it is trying to get the ID from the text to match the ID number on SharePoint.

 

last(split(triggerOutputs()?['body/title'],'#'))
 

Any thoughts?

Oh man, I think I figured it out.

Your list is too big. The condition is only checking the first 100 entries. None of them are 1708 so it's returning false.

 

Anyway, it'd be much better to do this without a condition, and filtering the list instead of checking each item.

In the Filter Query, add 

Id eq int(last(split(triggerOutputs()?['body/title'],'#')))

This should only return one item from your sharepoint list, the one with the matching ID.

Then add your Update Item action to mark that item as complete. It will automatically put it inside an Apply to Each control, but again, it should only do it with one item.

ID is a number field, and your expression is returning the ID as a string.

Try wrapping the expression in int() to make it an integer

It did not work and returned false. The note below from the error says: ActionBranchingConditionNotSatisfied. The execution of template action 'Update_item' skipped: the branching condition for this action is not satisfied.

It might help to diagnose the problem to add a couple of compose actions inside the Apply to Each before the condition with the Split expression in one and the ID dynamic in the other, like this

It may not solve the problem, but when you test it you'll be able to see the output of each compose to make sure it's returning the values you expect.

If anyone is thinking of doing similar synchronizations between Planner & SharePoint, it may be worth considering the use of something like this SharePoint Kanban / Planner-like template instead:

I am very new at this stuff, but I was able to test what you had showed me.

 

The ID number that I have on SharePoint that I want to look for and connect is 1708. It looks like in the first step the input and output for the SharePoint ID shows 12. So, there must be an issue with the SharePoint list column for ID numbers is what I am gathering then.

Is the ID number you're looking for on your Sharepoint list the default automatic item ID or is it a custom column looking up some other kind of ID?

Every time a new item is added to a Sharepoint list, the list automatically assigns a sequential ID to that item, which is to say the 1st item created in the list gets the ID 1, the 2nd 2 etc. This ID is cannot be changed.

 

If you're using a different kind of ID to find the item you're probably referencing the wrong column.

I am using the default automatic item ID for the SharePoint list, which the desired number look up for testing is "1708" but it looks like the first step in my powerautomate flow showed an input and output of 12.

 

Would I need to create a new column that copies the default ID generation and makes it to a number? Or is there a different way to pull the default ID?

Not sure if I did the expression correctly in the filter to get the exact number I need. It gave me errors, but it is mentioning that it cannot convert it to the target type. Would that mean I should try formatting it to text?

It worked! I did your steps, but then after I removed the integer part of the expression and it worked.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
