Need Help Creating Automation to Copying Row of data between 2 Sharepoint Lists when Trigger is Met

Hi Folks,

 

Bit of a Power Automate noob. I'm trying to create an automation that checks a sharepoint list (upon data addition/edit), and copies over any entries if a trigger column has been set to "Inactive".

 

I've set up both lists to have the same columns, including a trigger column (Choice of Active / Inactive ). However, I'm having difficulty navigating how to set up the Automation.

 

I've been trying to follow this tutorial, but some options referenced do not match what i am seeing (for example, I don't appear to be able to add "Dynamic Content", nor do I appear to be able to investigate columns in my destination list.

 

(in the screenshot below, I can only see the option to select one column titled "Email", when there should be two, since both lists contain this column)

Any pointers or tutorials would be greatly appreciated

Have a look at this example:

1) Get the items from "Managers" list where Status = "Inactive"

2) For each item (manager)

  2.1) Get the items in the Hosts list where Email=Managers list email column (in the example, "Created by Email")

  2.2. If an item is found in the hosts list (length(body('get_items_2)>0) ...

Could you explain in further detail? I mean, which column is present in both lists and not showed in dynamic content? Which is the type of this column?

So I have two lists containing basic employee information, including first name, last name, email address, and a choice column for Active/Inactive status.

 

My first step, Get Items, is set to return all items where "Active/Inactive" is set to "Inactive". This i was able to figure out.

 

The next step I'm trying to set up is to set a condition to see which of those employees (derived from the source list) already appear in the destination list, as sort of a duplication check using the email address as the unique identifier. In layman's terms, I'm trying to create the expression:

 

[Get Items Email] is equal to [Destination Email]

 

However, I can't figure out how to specify the Email column from the Destination List as an argument in the conditional expression. Does that make sense? Am I even approaching this in the right way?

 

(FYI, my next step would to add a fork in the action so that

[if "Get Items" email exists in "Destination List" email, do nothing]
[if "Get Items" email does not exists in "Destination List" email, copy "Get Items" data line into "Destination List"])

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
