Nested if statement to set variable - Forms to SharePoint

Hello,

 

I am new to automate, so I am a bit lost on the proper syntax to do this. I've gone through the forum and the help tools.

 

Background:

I have a Form that helps a user through potential issues they are having onboarding to O365. Depending on their response this generates a help ticket in a SharePoint list.

 

I want to classify the ticket type based on their responses. So for instance, "I am having a problem with my password" would be classified as a "password" issue in the drop-down menu for ticket type. For convenience it would be best if I could simply search for responses that contain certain keywords, rather than having an exact match.

 

Need:

There are a lot of potential ticket types, so I do not want to nest the conditions within Flow - this would get pretty messy and I believe there is a limit of 5 nested conditions anyways. I want to dynamically set a variable using a nested if statement, and then push that variable to the dropdown option. My understanding is that this is the best solution.

 

Question:

What is the proper syntax for a nested if statement in a variable in Flow, pulling from Form responses, to select from options in a drop-down menu in a SharePoint list (presumably by inserting the resulting variable as text, not dynamically selecting the drop-down itself - though that would be cool too if I can do that =)).

I would like to suggest an alternate approach which will likely be much less complicated.

Create a second SharePoint list with two columns.

The title column and a Classification column

Have one row for each potential choice form Forms

Populate the Classification column with the corresponding choice in your SharePoint list.

When a new form is submitted, lookup the choice column in the second list using a Get Items action with an OData filter.

The filter would look something like this"

Title eq '[value from forms]'   where [Value from forms] is the reference to dynamic properties.

The Get items action should return just 1 result.

To populate a SharePoint option column, use the actual choice text (the value that you'll get back fro Get items).

When setting the option column value, you'll need to select Enter a custom value.

I would assign if() based expressions to your variables by means of WDL functions

Could you please share more details about the form questions?

Would you please share a screenshot of the sharepoint list with column it?

Does the ticket type means the sharepoint list? Or does the ticket type means the sharepoint list column with choice type?

Form questions:

Not sure what you would like to know. It is a MS Form with several branching sections. Once the user has confirmed they are entitled to support, one question asks for details about their issue. The options here correlate to the Ticket Category in the SharePoint List.

 

SharePoint list:

The SharePoint list is our ticket list. There is a choice column in that list called Ticket Category, which helps us track different groupings of issues. 

I don't seem to be able to insert an image, sorry. It is a drop-down selection with about 20 options.

 

My objective is to have the choice in the Form correlate to the proper category in the SharePoint list when my Flow creates a new ticket.

Yes, so I know to use the if() function, but I am confused about the proper syntax to use it.

 

Is it as simple as if(equals('question name','answer selected'),'text output',if())?

From what I am seeing it does not look that simple.

1. The documentation indicates a Boolean expression is required.

2. The documentation, including the instructions you linked to, includes things I have zero familiarity with. For example: replace(triggerOutputs()['headers']['x-ms-file-name'],'/','_') - what is triggerOutputs? Will I need the square brackets for anything I am referencing?

3. The general trend I get is that I would need to make a call to the fact that I am retrieving data from the Form and not elsewhere. Is that the case? How do I do this?

You do not need to replicate for each category - that's the idea of using the lookup list. 

All you need is one entry in the lookup list for each value in the Form - see my example:

@ScottShearer  yes sorry, edited my post - got it sorted out and working. You do not need the variable - it can go straight from the lookup to the new item.

Nope - you don't need the variable - I kept the loop in for the sake of simplicity....

@ScottShearer  I am having a related problem, perhaps you can help.

The ticket is only supposed to be created when some responses in a choice question are selected, not in every case.

I set a condition control - if the form response contains certain keywords, create a ticket, otherwise do something else.

However the form response is appearing to Flow as blank. It is a required field in the form, and has to be selected before the user sees the submit screen, so the problem is not that the user left it blank.

Do I need to convert the form response to a string, or do some other action, before using it in a condition control?
