Notification if all the Items are available

Hi everyone

I am struggling in order to get notification for a spare parts availability:

I have a list grouped by "Workorder ID"

My idea is to get a notification email as soon as the column Qty avail is equal to "Y"

Since the list will be updated every day, a colleague will be informed via email when all the parts are available.

At the moment the only thing i did was to create an Array and filter out the elements marked as "N"

I don't understand your approach based on your stated objective. You just want to send a notification when Total qty available is equal to Y? If so, this is rather simple. You can use either the trigger When an item is created or modified or the trigger When an item is modified (it just depends on whether this field can be yes when you initially submit the item).

You will then want to set up a trigger condition so that the flow is only triggered if the value in this field is equal to Y. Below is an example of multiple trigger conditions in one of my flows, which runs when the item is created or modified and meets all of these conditions (they all evaluate to true):

Because the flow runs when it is both created and modified, and I only want the notification to go out one time, I have a field in my list that I update so it cannot be sent again. In the above, this is Message05. Once this flow is triggered, it will update this value to true so it cannot run again when the item is updated. You may need to do something similar depending on your requirements. There are other ways to handle this, but I like this method as it helps to provide metrics to see which notifications have been sent out for an item. In this solution, I have 15 flows with different trigger conditions to send various notifications to multiple departments.

Instead of using an HTTP request to update the field so the flow will not run again, you could use the easier Update item action.

Hi David, Thanks for your reply

The scope is to send a notification if Total Qty is Y but related to the group:

In my case i have 2 items available and 3 not available, as soon as i update the list and all the 5 items are available i want a notification saying: Your Worker ID has all the Spare parts available.

Even if 4 of 5 are available, i don´t want to be notified.

You can probably still do what I mentioned below, but when the flow triggers you will then need to use a Get items action to get all of the related items. Then in an Apply to each, you will need to add a condition to see if the Total qty available is Y for each one. If any one of the related items is N, terminate the flow. If they are all Y, then you can send the notification.

Of course, if the condition does evaluate to true for all of the related items, you will also need to update each of them to set the field you use to prevent the flow from triggering again.
