Placing a PO with supplier triggers order confirmation with customer flow, could it exist?!

I have created a flow which is ‘nearly’ all encompassing when managing a customer order.

The sales team throw the sales order over the wall to me. I then raise a PO on our contract manufacturer. The raising of this PO to our supplier triggers a flow to populate planner with a task for our store man to organise all the free issue for that customer order.

The part I am struggling with is creating a second trigger from the supplier PO email to also send a template order confirmation to the customer. I am aware there are various things I can do with adding the customers name to subject of the suppliers PO but I would need the flow to pick up (from somewhere) the associated email address to send the customer confirmation to. I would also need to extract from the body of the supplier PO the product details to also populate the customer confirmation. I am at a point where I am on the verge of fully automating these time consuming admin actions. Any help or out of the box thinking suggestions appreciated! Thanks all!

Hi @Anonymous ,

I suggest that you could explain the requirement with summary language such as : I would to trigger the flow when an new email arrives, and then the flow would create a planner task with the arrived email 1, and then the flow would send the email 2, the email 1 is ass below, the task should be created as below, the email 2 should be sent as below...

So we could under stand the requirement, the information that you provided now wouldn't help on us to solve your problem.

Best Regards,

Alice

Throw, raise... Are you talking about storing the info in Sharepoint? CDS? Any other repository? Or is it all emails exchange?

Can you also share an example of the email format you want to trigger the second flow?
Thanx!

Did I make your day? If so, mark my response as 'Solution' !!!

Hi @Anonymous ,

As @efialttes  asked, I suggest that you could share an example of the email, explain more details about the requirement, and please take a try to create the list with required fields in your sharepoint so we could take a try to create the flow on it.

Best Regards,

Alice

Hi, thanks for the quick response

Email 1 below is sent to my supplier - this triggers an 'add to planner task' work flow. The body of the email populates the task title.

Subject: #TeamMycompany - New PO for *Customer Name*

Please see attached Order for ***Customer Name***
Product code:
***Product Code No***
Free Issue:
***1. Free issue Pt description and Pt No***
***2. Free issue Pt description and Pt No***
***3. Free issue Pt description and Pt No***

Note: Free issue parts will be shipped ***date of the Thursday of that week***

Best Regards

Email 2 Is the order confirmation which I then have to populate and send out to the customer. Want I want to achieve is email 2 gets populated from the detail in email 1, ie the customer name (related email) and product details. Currently all our customer data is stored on Salesforce however I believe this can be exported and stored on customer manager or share point etc. Email 2 is below

Subject: #TeamMycompany *customer Name* - your new Mixergy Smart Cylinder is on its way!

Mixergy Order Confirmation
Dear **Customer Name**
Thank you for you order for a **product details**,

Your new Product is now moved into production and will be delivered to **customer
address** on the **date 3 weeks from this email date**

If you require any further assistance or required to change your delivery date please click Here

Best Regards

It also might be worth mentioning that although I trigger the task planner work flow by flagging outbound supplier email I am open to using a different method to trigger the work flows if it makes it easier to build. Ie the flow monitors the subjects of outbound supplier PO emails which has a unique identifier which relates to the same unique identifier in a plan name on planner. (i think I would prefer this method as it would give more automation over many plans.

Many thanks in advance

James
