Power automate flow - Sharepoint list due date items, send emails to individual users - one email per person

Hello,

 

I am fairly new to power automate and as part of a project I am trying to create a flow that does the following:

 

From an existing Sharepoint list, once a day to check if anything is Due today and with a ReviewStatus 'ToDo'. If this condition is valid then I want it to gather the URLs of all the different list items and send them to the assigned users via email. Basically an email reminder that a user has tasks to review today.

 

So for example if I have 3 items due to be checked today under my name and my colleague Jon has another 2, then 2 emails should be sent out, one to me with my 3 items, and one to Jon with his 2 items. He shouldn't get mine and I shouldn't get his.

 

I am sure this is has been done numerous times before.

 

I have the GetItems with the below filter query and seems to work. I have added a varReminderDate to add days to my filter in case we need to check in 7 days etc in the future. Currently the variable is 0 days as I want it to be for the same day as current date.

At the moment the above flow sends me 3 emails, one for each task, and Jon 2 emails one for each of his 2 tasks. Although this partially does the needed job, I am not fond of individual emails for each task. What if there were 30 tasks or more per person then the mailbox would be flooded.

 

Could you point me to the right direction?

Any help would be greatly appreciated

Please follow these steps...

  • Create a Variable of type Array.
  • Execute GetItems to get all items.
  • Run for each on GetItems and add unique email addresses to Array variable.

  • Now loop through array variable.
  • Use Filter Array to filter GetItems Array where Email matches the email from Array. Note that I am using Created By which is Person field. You can use yours...
  • Then add Select from Array and Map fields that you would like to.
  • Then use Create HTML Table and Provide Select Output.
  • Then use Output of HTML Table within your Send Email. Refer screen shots below...

Please follow these steps...

  • Create a Variable of type Array.

 I just tried your approach and works thank you very much.

 

Just after I posted my question, I found another solution which is very similar to the solution mentioned here, but does a union with a distinct variable of the emails, following is the link in case others want to have a look

I got another question, if I may, how can I have the link show up as an anchor when sent through the send email (v2)?

 

I tried doing the following

But the email basically shows the whole <a href="blablabla link"> Click here </a> 

I read in another post to use a Compose and replace the lt, gt and &quot which i tried but still didn't work.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
