Question regarding changing a planner task by changing the outlook agenda

Hello.

 

So as the title sugests i have the folowing question, is it possible to update a planner task by changing a task in outlook, or vice versa ( updating the planner task and it updating outlook event automaticaly)

 

At the moment i have this flow "done" but i can't seem to figure out how to get the flow task ID from the outlook event (as the folowing imagine shows)

It has

 

When you modify a event > Obtain details of task > update task details.

 

Is there any way to get the id? 

If so how?

 

Also is there any way to update the task directly on planner ( for example i want to change the date, or add more team members) and it will update the events on outlook?

Since planner at the moment only has 3 triggers (when a new task is created, when a task is assigned to me and when a task is finished)

As the Task Id is a combination of numbers of letters, you don't need to convert it to an integer (int function). Therefore, the expression to get the Task Id should be:

 

- Get Task:

substring(triggerBody()['subject'],add(indexOf(triggerBody()['subject'],'('),1),variables('taskIdLength'))

Hi @Anonymous ,

 

The Outlook calendar does not include a planner task id, so you cannot specify a task and update it.

 

Is there any correlation between the Outlook event and Planner task? We need to use the relationship that may exist between them to obtain tasks so that we can achieve the need to update task details.

It does make sense but after hours i don't have any idea on how to relate them in order to achieve my end is that any way on how to?

(I have a already function flow that connects planner to outlook calendar, even tho i don't think it's possible to relate outlook to planner that way)

 

Would you have any idea on how to proceed?

How about storing the Task Id inside the Subject of the event? For example, something like 'Review proposal (107)' where 107 would be the TaskId in Planner.

In this way, you could get the Task Id using some substring functions:

2020-02-06 14_56_36-Edit your flow _ Power Automate.pngIn the first variable, we get the length of the Task Id number (for example, 107 would return 3). In the second one, we read the subject, find the first ocurrence of '(' character and get the number inside it.

The functions used in text are:

 - Get Task Id length: 

sub(sub(indexOf(triggerBody()?['subject'],')'),indexOf(triggerBody()?['subject'],'(')),1)
 
- Get Task:
int(substring(triggerBody()['subject'],add(indexOf(triggerBody()['subject'],'('),1),variables('taskIdLength')))

@fchopo  i've tried like you posted to give a test and currently i'm having the error 

 

The inputs of workflow run action 'Initialize_variable_2' of type 'InitializeVariable' are not valid. The variable 'taskIdLength' must be initialized before it can be used inside action 'Initialize_variable_2'.
 

 

@Anonymous You have to use "Initialize variable" action, and not "Set variable" in both cases (before setting a value in a variable, you must always initialize it).

First initialize variable:

sub(sub(indexOf(triggerBody()?['subject'],')'),indexOf(triggerBody()?['subject'],'(')),1)
 
Second initialize varaible:
int(substring(triggerBody()['subject'],add(indexOf(triggerBody()['subject'],'('),1),variables('LarguraID')))
 
i have passed that error but i have a new one ( ill leave prints with the error)

The first expression returns "-1", so it means it doesn't find '(' nor ')' characters in the subject field. Therefore, the initialize_variable_2 action can't be executed. Are you testing the flow with an event like "title of the event (1111)" where 1111 should be the task id?

Yes i do believe so, i tried testing the event, by changing the date of the event on outlook on the test run

I tried with an event like this and it works!

Hi @Anonymous  what I did to solve this flow is just when I create a task I add the task ID into the tittle or inside the outlook event. Then in the other flow when I modify an outlook event just get the task planner ID.

Still trying to find the solution...

Since now im back at the office might try the one with the task id on the directly 

@ChristianAbata how did you manage to put the task id on the title for example?

@fchopo  the id i get is far diferent from the one you get in my case, im assuming you get 4 numbers i'm getting a big mix of caracthers and numbers.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
