Remove email signature image attachments

Hello,

When an email with a corporate signature is picked up by flow and an item is created in SharePoint, it also includes the individual images from our email signature and thus adds them as attachments to the list item.

Is there any way to exclude these? For example if attachment = image001.png etc?

Hi @sudosaurus ,

You could use condition to exclude the signature image:

54.PNG

Hope this helps.

This works in testing - how would I add to my other flow? where you provided the solution here:
https://powerusers.microsoft.com/t5/Building-Flows/Include-Email-CC-in-SharePoint-People-column/m-p/...

Here's my current flow setup - I've added in some other functions.

Flow 1 - When email arrives in shared mailbox > create item

Hi @sudosaurus ,

You just need to add Condition in Apply to each 2 and Apply to each 3 in Flow 1 to check if the attachment Name meets the condition.

Please take a try.

Hi, I have added this to a flow and it still passes the footer images. Please could you help?

My FlowMy Flow

It seems like no matter what filter you use, the image still passes through to the SharePoint folder. I made another flow to periodically delete all those small image files in that folder.

Hi Mario,

Could you share your solution for deleting the images from the folder? That would be very useful.

Kind Regards,

Ann

I actually got the filter flow to work

Here is a picture of my flow. The key is where you put the condition. Using the Save my email attachments to a SharePoint document library flow template, you need to put it under the "check from email address" condition and right about the "Create File" in SharePoint portion. The first filter is the image Attachment Name doesn't contain the word image, and the attachment size is greater than 10000 bytes (10kb).

You need to drag the Apply to each 3 into the If yes portion

Hei Mario,

Thank you so much for your input! I use the template "Save Office 365 email attachments to specified OneDrive for Business" and modified the flow in the way you suggested.

It's a tremendous relief to get finally rid of the unnecessary signature jpg and png files.

If anybody wants to use my solution, here is the workflow.

In Condition 2 the first dynamic content is: "Attachments Name",

the second one: "Attachments Size"

Hi,

Using this condition will help to exclude signatures as image attachments, but on same time we will not receive copy paste attachments from the email body anymore. So is there any alternative solution for this?

Regards,

Sankar R Mangattu

Hi there,

An image in the signature may become a source of spam or virus, so some services automatically reject it or send it as an attachment.

So, to avoid any email signature issues that can happen, I recommend you to use professional email signature generators that have integrations with the email client. There are dozens of nuances you don't know and have to deal with (like images in attachment), but if you use professional tools, you can avoid this job. For example, Newoldstamp has excellent integration and automation with Microsoft 365.

This worked perfectly for me, it solved the same problem, thanks!

Hi,

Maybe I did not understand your explanation. See the picture below, will the company logo in the mail signature be interpreted as attachment?

Power automate.JPG

In my experience, yes.

This will remove all attachments from the body of the email and just save the intended attachments... i think

Hi,

Thank you for your suggestion. I have testet it, but unfortunately the suggestion also removes the attachments to the e-mail, not only the signatures.

I would really appreciate any suggestion to this problem. The exact same e-mail is been listed several times.

BR Anne

Definitely working for me.
image001.png to image006.png outputs false and ends
input7 outputs true and creates file

FlaTTy_1-1673526303259.png

Which solution are you referring to? The one in FlaTTy's post above will remove all inline images.... not just signatures. My previous post towards the top has a conidtional statement for the attachments involving size and name (the signatures have the name image00#). Can you post your flow?

PA Skjermbilde.JPG

Hi,

I return to the issue on flow of company signatures from Outlook into SharePoint using Power Automate. Please view the illustration above. A business partner has this company's signature (an example). There have been 3 back-and-forth exchanges of mail. 21 (3x7) lines were added to the SharePoint list as a consequence. The various corporate logs range in size from 1520 kb to 6900 kb. Does anyone know how to avoid this unnecessary listing of the same mails? It is not possible to use suggestions like eliminating any png and jpg files that are smaller than a specific size, because doing so will also erase any pasted-in small clippings.

I would appreciate feedback with suggested solution.
