Send message from mail to specific Team and specific channel based on e-mail subject or message

Hi there,

 

I'm really new in to Power Automate, so hope anybody can point me in the right direction.

 

I want to post messages into a specific Team and specific channel based on conditions like e-mail subject and/or message.

It's for automating communication, project statuses and following up for the team based on that information. 

 

So i want to sort out based on message the right team like 'Projects External' or 'Projects Internal' and after this criteria i want flow to choose the right channel

 

For external it's: Client A - 100, Client B - 101 or Client C - 102,

For internal it's: utilize Power Automate - 100, Deploy Intune - 101 etc.

 

All Teams and channels have unique names so it should be possible right? How to do it right?

Any help will be appreciated, even linking related posts so maybe i can figure it out by myself!

You could create a flow to check the channel id:

Is this works for you?

If you need to post the same message to more than one team or channels then replicate the same step again after the post a message action step. 

 

If you don't want to replicate too many post a message step then you could achieve this by adding an array(Teams and Channels), iterate the array and use a single post a message action step.

Thanks for the help and also quick response!

 

No it's a good start but i want to Power Automate to look for the right channel name and poste the message there automaticly by kind of a search or filter option. Because new channels are created on a daily bases and also deleted on a daily basis it should be a automated process and not based on fixed fields, otherwise we need to update our flow constantly.

 

So the variable is the subject, where some unique caracters are set, based on that it shoud appear in the corresponding channel.

 

Let's give some examples: 

Example 1: So my e-mail subject is like: Project External - P101

 

My teams are:

Project External:

- General

- Client 1 - P101  (Message should be posted here)

- Client 2 - P102

- Client 3 - P103

 

Example 2, my e-mail subject is: Projects Internal - P106

 

My teams are:

Projects Internal

- General

- Project a - P104

- Project b - P105

- Project c - P106 (Message should be posted in this channel)

 

so, is this possible?

 

I also want to keep it as simple as possible, if possible the only condition should be the P101 number, because this number is unique it's not needed do manually filter first on the right team, make sense? By doing it that way it's working accross all teams company wide.

Yes it is possible.

 

So your subject format is  like below

 

Project External - P101

 

What you need to do is declare a compose action step and add the below expression

The above expression is as follows:

trim(last(split(triggerBody()?['subject'],'-')))
 
This will output the channel name for you.

i give it a try and troubleshouting since your post but even in the easiest setup it still didn't succeed.

The compose section is exactly your expression.

 

What am i missing?

And where can i read some more content about expressions and example forms?

You need to enter this under the expression tab. Currently you placed the expression under the compose as a text.

Please post the error what you getting. Remember your subject should have the following format.

 

Project - xxxxx 

 

Where xxxx is the name of the channel.

Hi there,

 

Just did some testing, using different types of content and different mailboxes to figure out where the problem is.

 

I still recieve a status code 400 like yesterday. The Channel which shows up is exactly correct. When i delete the Compose section and hard code the right channel it will show up. So is there still missing a part?Knipsel.PNG

Hi,

 

Thanks for your reply, i have added the List channel option, now it's working!

 

It's not the best flow yet, but still i have some progress. I think the idea behind this is working!

I'll continue developing this flow, thanks for now your all!

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
