Send one Email per item in SP List / multiple 'person or group' column types

Hello! Long time lurker, first time poster...

 

I am trying to create a flow where I send out one reminder email to PIC1 and PIC2 (person or group columns) per row of data in a sharepoint list.  The flow works in that it will send an email per Item, but the problem is that it it combines the PICs from each row in each email.

 

Here is my flow:

Let's say my sharepoint list looks like this:

ItemDue Date

PIC1

(person or group column type)

PIC2 

(person or group column type)

License 13/15/2024A, BC
Certificate 13/15/2024FD, E

When I trigger the flow, it sends separate emails with for each Item, but PIC1 and PIC2 are combined into both emails (PIC1 will show A,B,F and PIC2 will show C,D,E in both emails, but Item will show different in each email). 

 

What I am trying to accomplish:  I am trying to generate a flow that will send one email to PIC1 (may have 1 or more PIC1) and cc PIC2 (may have more than one PIC2).  Details in the email include "Item", "Due Date", "PIC1" and "PIC2" along with a generic message.  One row, one email. 

 

How can I send a separate email per row of data in my SharePoint (based on my trigger, which is working yay) but only to the specified PIC1 and PIC2 in each row?

I think I understand where you went wrong. 

move your “For each 2” inside your “for each 1”. Get rid of “For Each 3”. Basically you want one big loop that iterates through each item.

 

within that big loop, your Append to String variable action within their own loop is ok, since you have multiple people per column. 
Now move your email to be within the big loop - get rid of “For Each 4”. Since you are looping through each item already, you don’t need an extra looping function. 

Once the email has been sent the critical part is that you MUST reset the variables. Use the Set Variable action to set your variables to a blank string or null. Not resetting is the reason it’s appending extra people to the email. Make sure the reset of variables is within the Big Loop as well, right after the email is sent. 

Bonus- in case the email fails to send, be sure to configure your Run After at the variable reset to run even if the Email action fails. This will ensure your variables are reset for the next row in your list.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
