Send only 1 email if multiple files are uploaded to OneDrive folder

Hello everyone 🙂

This might be a recurrent theme and I have spent hours looking for a solution. Here is my problem:

1. I create a "send notification if file is uploaded to OneDrive folder" flow.

PROBLEM: I receive an email + SMS for each file uploaded. So I receive hundreds of emails and SMS.

Possible solution / idea I tried out but could not make them to work:

- Put the flow on a recurrent schedule to only check once a day.
But I cannot make it work. I used this idea from the forum:

Issue: When I try to recreate the flow I receive errors like "Object must be an arrow" or that the dynamic expression is wrong. I think the post is from 2018 and some of the features shown in the example are missing or different.

I am looking for a simple solution like:

"Send email if folder is not empty. Trigger once a day"
or
"Send email if new files have been uploaded to a OneDrive folder. Trigger once day."

Hopefully this is what you're looking for. It only sends an email if there's at least one file uploaded in the last 24 hours. It also only returns the new files so very efficient.

 

See full flow below. I'll go into each of the actions.

Recurrence is set to run daily. You can set what time you want it to run to suit your needs.

Get files (properties only) can be used to get files from both SharePoint and OneDrive (since OneDrive is essentially SharePoint in the backend). I would use Get files (properties only) instead of List files in folder as it's much more robust and you can add a Filter Query to only return the files you want. Because your OneDrive Site doesn't show in Site Address, you just need to click on Enter custom value and paste in the URL to your OneDrive. You will also need to type Documents (your My files library in OneDrive) for Library Name, and the name of your folder in Limit Entries to Folder.

 

Get files (properties only) in this instance will only return the files that were uploaded in the last 24 hours including files within nested folders. It will also only return files (not folders). The expression used in the Filter Query is below:

FSObjType eq 0 and Created ge '@{addDays(utcNow(), -1)}'

//Note that Get files (properties only) and List files in folder return both files and folders by default

//FSObjType eq 0 means that only files will be returned. If you only wanted to return folders you would use FSObjType eq 1

Condition checks to see if any files were returned (created in the last 24 hours) using the following expression. If at least one file, it will go into the Yes branch.

length(outputs('Get_files_(properties_only)')?['body/value'])

Create HTML table uses the output from Get files (properties only) and maps the fields you want to display.

Compose Style table is some CSS uses to style the HTML table (make it look nicer in the email).

I made this flow that sends an email every day listing the filenames of all the new files added to a specific folder in the onedrive in the previous 24 hours. You could set a condition that if the folder is empty then it doesn't send an email if you want!

the Condition is checking if "Last Modified Time" is greater than "Calculated Time" from the subtract action

The output in the subject is from the formatdatetime compose and the output in the body is from the HTML Table.

I am sorry for the late reply - I got the flu.

Thank you so much for your explanation. It worked!

There was just on BUG: Sharepoint has some - imho - logical issues with localizing. I live in Denmark so the library name has to be spelled in DANISH. I think it would be great if everything would work in English + local language (or just English only). When I wrote "Documents" it didn't work. I hope other foreigners may find this information useful 🙂
