Sending Emails to create a conversation

Hey there,

 

I created some kind of ticket-system with the help of Power Automate, Planner, MS forms and Sharepoint. 

Now to give you some background info what's happening when:

 

1) user fills out the form

2) I create a task in planner

3) an Email will be send informing the user that their task has been created

4) when I'm done working on the task and closing it another Email with the same subject will be send informing the user that his task has been closed and the things that were done

 

Now to the problem of it:

 

these 2 emails, although having the same subject, don't get shown as conversation but instead are two separate emails.

Is there a way to fix that? 

 

I found a thread from 2019 where someone had the same problem and the answer back then was that it isn't possible. But there are many tools available that do exactly that. Like Jira for example.

Hi @Nemrock ,

 

Maybe you could consider creating two Flows, the first Flow is used to create a task and send an email, and save the task id and the message id of the mail to the SharePoint List. The second Flow gets the message ID of the previously sent mail in the List by the task id and replies to the mail. In addition, I added a timestamp to the email subject to make sure the subject is unique. 

 

I have made a simple test for your reference. 

 

Here is my SharePoint List.

thanks a lot for your response. That's a great workaround and I will definitely look into that.

Haven't considered replying to my own mail 😄

I'll test it within my setup as I do send the mails from a shared mail account and there's no option to reply from a shared mail account so maybe that could be an issue but I'll give it a shot.

Hey @v-yujincui-msft ,

 

just saw that there's no option to get emails from a shared mailbox so unless I send these mails to me as well (flooding my inbox, which could be solved by a different rule/flow) I have no way of getting the message ID.

 

And that's a bit too much of a hassle to be honest 😄

 

But thanks a lot nevertheless !

Good morning @v-yujincui-msft ,

 

Update: found the error. I was just stupid and selected "sent items" before entering the shared mailbox adress. I guess power automate now wanted to look into my personal sent items but with email adress of the shared mailbox or sth like that.

 

I did it again and it worked like a charm!

 

I did it the way you showed but I receive the following error:

 

As of May 6, 2020, shared mailbox support was added for certain operations with an optional 'Mailbox address' parameter, allowing you to specify a shared mailbox address for your operation to access. If you were using this operation prior to May 6, 2020, you will need to explicitly update your operations to specify the shared mailbox address. Please follow the Office 365 documentation for more information: https://docs.microsoft.com/en-us/connectors/office365/#shared-mailbox-support

When looking at the past runs the flow did within the get mails task I see the following:

 

"code""ErrorInvalidMailboxItemId",
"status"404,
  Item doesn't belong to the targeted mailbox
 
Any idea why?

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
