Hi,
i'm trying flow and i started with one practical example in our company - i'm trying to create sharepoint files (preferably word) based on crm entity. Problem is filename is set to customer - visit date. And datetime contains invalid charactes.
I can't find any way to prepare string/variable in the flow.
And i get error messages from sharepoint like:
The file or folder name \"VrFlowTest/80487e64-be9c-e511-80f0-3863bb3610182016-03-03T09:54:30Z\" contains invalid characters. Please use a different name. Common invalid characters include the following: # % * : < > ? / |
Other things:
All in all this seems to be really powerfull tool, but eiter it is till soon after release or I just can't find what I need to use.
Hi Vlada,
Thanks for using Microsoft Flow.
The "80487e64-be9c-e511-80f0-3863bb361018 " seems to be the GUID of the customer account, if you use the auto-generated customer name from the Dynamic CRM, then it should have issues as the Flow service can't "translate" it into Sharepoint site reference.
I wonder if we could specify the item generated from the CRM in "Condition", not in "Action" with Microsoft Flow, something like:
substring(triggerBody()['Created'], use this as the decision condition, update the related item if it matches the sharepoint item.
Currently I am setting up the Dynamic CRM environment, I will try to test this from my side.
There might be some time delay before I could share any results here.
Appreciate your patience and understanding.
Regards
Is your customer details are stored under Contact entity or custom entity? Then use 'Dynamics - Get Record' template and set the filter as the GUID. Next flow step you can get the Contact ot custom entity details (Name, etc.) to create the folder and filename in SharePoint.
Thanks

Learn more from my blogI think it is under Accounts. I'm trying Dynamics - Get Record. But so far no luck, i guess I don't understand how it works in flow or how to set up filter.
Hi Vlada,
Set the following for the Get record Dynamics Template.
1. Organisation Name: Your CRM org name
2. Entity Name: Accounts
3. Item Identifier: Here set the Account. (Right hand side menu option you should be able to see the available fields from your previous flow. Double click the Account to set the item identifier).
Thanks

Learn more from my blogThre real inputs that go in:
INPUTS
Organization Name: *Test environment
Entity Name: Accounts
Item identifier: 751a57d9-37c0-e511-80f9-3863bb358***
RESULT:
Runtime Error
application error occurred on the server. blah blah blah blah blah - saying that customErrors are enabled on CRM host
Hi @Vlada,
Can you please show a screen shot of your flow?
Thanks

Learn more from my blogI opened it in IE, so sorry for the language - i usually use chrome, whre is it set to English

I also did not found CRM entity's field "Created by" in the availible fields in flow, i guess it is same problem as with customer, as there is "Owner" field that is guid and probably needs to be resolved using Get Data action.
Hi @Vlada,
Thanks for the screen shot. Can you please expand the first flow steps? Also in which flow step you are getting the error?
Thanks

Learn more from my blogWell my flow starts with [dynamic 365 - when record is updated] and there is "Filter Query" attribute in this action - so i guess i could construct Odata query to filter it by Status field, in this case it is "status_reason". I don't know what i should write there. Just status_reason eq 2?
I noticed that status_reason "2" is returned for the completed items. It is custom entity so i undertand it might be a little problematic.
Also I found out that sometimes flow just don't react to item being updated. Is there some delay or batch it works in?
here is complete screenshot of my flow as of now: https://dl.dropboxusercontent.com/u/16550256/my%20basic%20flow.png
You also mention substring and triggerBody functions. Where is documentation of all function like this that I can use in my flows?
EDIT: So the query (get record) for the owner into users table works for me, i guess the custommer is stored elsewhere and not in accounts table. I already iquired persons that know more about custom entity i'm trying to work with and I will see what is going on.
The conding in condition i currently use is @equals(triggerBody()?['statuscode'], 2) but odata filter would be nicer.
Hi @Vlada,
Most likely customer is stored in Contacts entity in CRM. You need to change the Get Account flow to select the Entity Name as 'Contacts'. If the customer details are stored in Contact that should work. Let me know how it goes.
Thanks

Learn more from my blogNo, it does not work with Contacts eiter.
Still what bothers me most is that that the flow just not triggers for some updates of the CRM entity at all.
Hi @Vlada,
From the diagram you provided earlier shows 'Visit Reports' is the trigger entity. This look like a custom entity in Dynamics. Then for the Get account your item identifier is 'Customer'. Can you check with your Dynamics org where the Customer details are stored? If you open the 'Visit Reports' record and click the customer lookup it should show which entity it is getting stored and set the correct entity name under Get Account > Entity name.
Your trigger entity is for update only. It should work as expected. It won't work for create records.
Thanks

Learn more from my blogIt is for update only, which is what i want, but shill seems to ignore some updates and i don't think it mattars if it is by user or by system.
The accounts problem that i spend so long solving with you was really my error - i have different accounts set up and i used wrong one to access the enviroment.
