Start and Wait for an approval - Everyone must approve

Hi,

 

I am creating a flow using Start and Wait for an approval - Everyone must approve. From the Power Automate site, the behavior should be The actions that follow the Start and wait for an approval action run after all of the approvers approve, or when a single rejection is done.

 

However in my flow, when the first approver rejected the flow, it still goes to the second approver. It should be the case since the first approver already rejected it. I want to stop the flow once the first dynamic approver rejects the flow.

Hi there.  So, what is in the field "JV Approvers E..."?  Based on what I see, I'm guessing it's a multi-select, or maybe a field with multiple rows of data?

And if that's the case, I'm betting it's doing this because of the Apply to Each loop.  Here's what I think it happening:

 

You're getting the item, and then create an approval with the JV Approvers in the Assigned To field.  Flow says "Hey! This is (essentially) an array, so I'll help out this cool person by creating this loop!"  And in that loop is the start approval, but because the loop is cycling through each person in that field, it is creating a new approval for each person.  

 

So, if there are 3 people in that field, then it creates an approval for person 1 (only assigned to person 1), they respond, then it cycles to person 2 and so on.  And because it creates a new approval, it thinks it's done a good job 🙂

 

The fix is to get that "array" of multiple people into a string of joined people.  After your "Get Items" action, add an action called "Join" (You can also do this with an expression).  For the "From" part of the Join action, put the dynamic value for the JV Approvers field, and for the delimiter, try putting a semi-colon.  I can't remember if you need single quotes or not, so if it bombs, try adding those.

 

Then, for your Assigned To field, use the output from that Join.  It should see it as a String, and NOT kick off an Apply to each loop...and hopefully create a single approval going to 3 people rather than 3 approvals going to 1.

I really appreciate the storytelling you have there and it helps me better understand the process. However, when i try to modify the flow. encountered an error.

 

The JV Approvers Email is based on a Custom List on a SharePoint that is basically Persons in the organizations. There could be 1 or more names in that column that the Flow checks for the email addresses.

Unfortunately, the methods above did not resolve the issue.

 

The objective here is that when the rejection is complete, the next approver no longer receives an approval notification. However, for the case above this is not happening.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
