Trigger a flow using a QR code

Hello everyone,

I have a weekly paper planning of repeating tasks for each day in a factory.

As of today, the worker signs with a pen under the task when he completed the task

Example : Every Tuesday 8 AM empty the bin (of course the real tasks are much more interesting but you get the idea)

The issue is this planning must be printed again each week, and each week I have one more sheet to store somewhere for future reference if need be (in my industry, tracing is very important and mandatory)

I would like to add a QR code under each task on the paper planning so when my workers scan it, it automatically triggers a flow that gets to a SharePoint list saying that the specific task has been completed. I don't want any other information as the only thing that interests me is whether it has been done and when and not by who. I know I can probably attach a unique QR code for each task to identify the task.

I'm very noobie in Power Automate and probably understand only about 20% of it from one other previous project. I read somewhere that I can use the HTTP trigger for that but I have no idea how.

Is there a simpler way to do it ? Otherwise what terms am I looking for to search google ?

I have worked with QR Codes before, but I dont think, scanning it will trigger the flow. Instead you can click the image of QR code and upload it in a SP Library Folder. So, you can use a trigger, when a new file is created in a folder.

After this either you can use a connector called encodian, for which you will have to purchase a license, or make a custom code, make an api for it and use it by using HTTP action.

Encodian will directly scan your QR code, and give you the output. But for custom code you will have to write the code yourself and make an api out of it.

This will take out the information from the QR code, then you can save it in your database.

I checked and I only ahve a standard licence.

Is there another way to trigger a flow when a link is accessed ?

For encodian, there is a separate license actually.

And for the link part didnt get your question. You mean when an http request is received?

You can use this trigger for that.

If you dont want to purchase a license for Encodian, then you will have to make a custom code/ custom API.

I wanna trigger a flow when someone accesses a link. Basically, if someone connects to your link, it triggers a flow.

The QR code would be used to access the link easily with a smartphone without having to click a button.

I saw that it is possible with the HTTP request trigger, but I would like to know if there is another way to achieve that because I wouldn't buy a premium license for just 1 connector.

You would need a premium license.

I tested this and it works. Go to your details screen of your flow and change "details" in the url to "run" using Microsoft Edge (I think Google Chrome can do this as well). This will open the Run flow screen. Put your cursor in the URL address bar and you will see a small icon with four boxes appear.

Click on that icon and it will open a menu so you can download a QR code of the URL. 

I tried it and it works. It is not as slick as running the flow from the mobile app, but it should work for what you want to do. I have only tested this with an iPhone running iOS 16 and Microsoft Edge for iOS.

Note: the user will need to press Run on their screen to actually start the flow.
