Update sharepoint list item with data from Microsoft forms

Hello colleagues. I have a Microsoft form and sharepoint list, in both side i have a value that match each other, i mean, i have a form value called User ID that match SP list item User ID and based on this ID i'd like to update SP list item with data from completed form.

So, i've setup a new flow, add connection to my form, then select action - Sharepoint update item, here i provided link to site, name of the list, but in a ID field there is only Response ID value from Forms and i have no idea how to tell flow to use User ID.

Any idea?

Hi @mnemonicator,

If you are looking to update a SharePoint list item and the matche between the MS Form and the list item is the User ID field, you have to add a SharePoint - Get items step and in Filter Query field do something like User ID eq 'UserID'. This will retrieve the SP list item that contains that respective User ID. Keep in mind that if there are several list items with the same User ID, they will be retrieved and updated. Also, please post screenshots of all your Flow steps so we can see what you have and provide your better assistance.

Could you please share a screenshot of your flow’s configuration?

Could you please show a bit more about User ID in SharePoint list? Is it a custom field?

If the User ID of SharePoint list is a custom field, please take a try with the following workaround:

• Add “When a new response is submitted” trigger.
• Add “Apply to each”, Input parameter set to output of above trigger.
• Within “Apply to each”, add “Get response details” action of Microsoft Forms connector.
• Add “Get items” action, specify Site Address and List Name. Within Filter Query field, type the following formula:
• Add “Apply to each 2”, Input parameter set to output of “Get items” action.
• Within “Apply to each 2”. Add “Update item” action.

If the User ID of SharePoint list that you mentioned is the hidden ID field of SharePoint list item, please take a try with the following workaround:

Within Id field of “Update item” action, type the following formula:

int(body('Get_response_details')?['rbbf086633469471d8eb5630acfd41197'])

Note: The ‘rbbf086633469471d8eb5630acfd41197’ represents User ID value of a form. In order to type above formula, you should take the following steps:

1. select Id input box and then select Expression tab of right panel.
2. Type int() function within formula input box.
3. Select Dynamic content tab, find dynamic User ID value and choose it as input parameter of int() function.
4. Click "Ok"

The flow works successfully as below:

It looks good and i have my second error 🙂 1st one is resolved by myself.

here is my flow.

My problem exist on step Get Items

Filter query is Title eq Введите OneK...

(Title is an internal name of the list column where i store User ID, it's because list created with import from Excel sheet function)

Введите OneK... is a 1st form question where we enter the same data as in a SP list, but error is - A00000155 is not a column name, it's a User ID entered in Form.

Where is my mistake? Thank you.

Got it, based on this article https://docs.microsoft.com/en-us/flow/odata-filters i need to use single quote for form field 😉
