Using Power Flow with Power Apps, Power Forms and AI Builder

Hi All,

 I have a business requirement to fulfil and I think it can be achieved using power platform capabilities. Need some help in assessing the assumptions: 

1. System having workflow capabilities. [Main function is to cut down business processes] -  Can we create multiple approvals with Power Flow on the basis of roles?  
2. Embedded text editor having multiple language and special character support, so writer can setup the paper. 
3. Question types : Multiple choice, true/false, Matching, short answer, Essay etc.  - For point 2 and 3 can we leverage microsoft forms capabilities to create questions with multiple language and symbols support and having option for role based access and editing access? It would be part of approval workflow of part 1.
4. Final question paper generated as a template. - Can we generate final output as pdf template in the end of approval cycle with static content embedded as logo etc.
5. Storing the questions in a question bank in the repository.  This would be helpful for point 5. - 
6. [Good to have feature] On writer’s submission, validation system that can check whether questions are repeated by writer [. Currently, lot of time is being spent on this task.  Can we leverage CDS to store every question in the repository to use AI builder to check if similar question appeared previously?

1. It's possible to create multiple levels of approvals, but could you explain the role specified? If you want to get Azure AD role, I am afraid there is no action that could do it directly. Maybe you could use HTTP request to do it.

2. Where is the text editor embedded in? Currently, some languages are supported edit in Flow editor, but when needs to store them, there are some converting issues. Such as store data into an Excel or CSV file.

3. You could pre-create multiple different languages MS Form, then generate links embedded in approval request by using MarkDown.

4. Yes, you could get these MS Forms to append into a Word template, then convert it into PDF file. You could refer to this post:

5. I afraid it is impossible to check whether questions are repeated by a writer in MS Form or Flow, as a workaround, you could store these responses into a SharePoint list or Excel file, if someone submit a response, loop through all items in the SharePoint list to check whether has same writer and answers.

6. I think AI builder is not supported to do it.

Hi @nikhilbansal18,

On your question 6: There is no direct AI Builder model that checks repeated questions but a possible option I see is for you to create an AI Builder Category classification model (preview) with a set of questions you use to have and tag each question with its intent. Possibly questions could have same intent.

Then you could create a Power Automate flow that calls the model and apply conditional logic based on the tags detected.

Yes, point 6 makes sense.

We are planning to use Power Portal as we need access for both internal and external users. 

Can power portal:

1. Does Power Portal have same capabilities with business process flow as in case of canvas or mvc app?

2. Does Power Portal provide 2FA authentication through ASP.net API authentication? 

3. In the final phase of business process flow can we call the on-premise app? 

High Level Approach:

1. Power Portal – Form UI having capability to add questions and submit.

2.Users can open the UI in the Power Portal for editing and reviewing.

3.Business process flow is taken care by Power Automate – Business Process Flow.

4.Microsoft word templates will be stored in the SharePoint site.

5.Triggers, notifications, populating of word templates, and conversion of word to PDF will be done using Power Automate – Automated Flow.
