When I add (modify) an item on a SP list, add the attachment into a folder in the library any time

Hi guys,

 

So i have created a flow that when I create an item, creates a folder for each one (they will have multiple versions of the document, so I created a library like an archive) and attaches the file every time. 

The flow is: When item created -> Create new folder -> Update file properties -> Get attachment -> Aply to each (Get attachment content -> Create file)

So I would be eliminating one attachment and adding a new one but I want those in the library to stay, even the obsolete. 

 

Would it be worth it to create it in a new flow or could it be possible to add what I am asking in the same one?

Hi @CarlesMartin ,

 

Do you want to save newly added attachments to specific folder? I recommend you create another flow and use "When an item or a file is modified" as trigger.

How do you create the folder? It determines how to get the folder path. Assuming that you use Item's ID as folder name, please try this.

The way I create the folder is this one. The folder path is the "title" of the File. I get an error because copy file its only for libraries, not lists.

I also would want to update the file properties, as this will be a new revision of the file. How should it look then?

Hi @CarlesMartin ,

 

That will not make too much difference.

You just need to keep the dynamic folder path in the new flow.

If you also want to update file properties, you can add "Update file properties" action after the "Copy file" inside the "Apply to each".😀

So i am getting this error:

It seems "Copy file" its only meant to copy between libraries and not lists to library. Should I use another action?

Seems it work, but i get the same error in the update file properties as it "could not find list item". Don't know why exactly i am getting that.

The thing is I want the folder with what new revision, but also that the new file in the folder has the new revision (updated from the item). 

 

I think I should add another action but getting this error I am kind of lost now.

It seems you are using Item's ID instead of file id to update file properties, please try use 'ItemId'.

It works changing the "ID" to "ItemId". The thing is I also want to have the last revision in the folder as well as it is in the file inside. How should i add that?

Do you mean create another file with same content?

You can try use Copy file action inside Apply to each.

No, when I modify the list, the item I get it goes to the folder in the library and the new revision is updated but in the file inside the folder. I want the folder also with the rev of the last revision (the same as the last file added)

I recommend you replace Create file with Copy file. The Copy file can save file with another file name if there is same file in folder already. Then, the new revision and the last revision are all kept.

The thing is I am getting right the file in am attaching in the list (when modify) + revisions.

But then when I go to the folders, the folder Prueba 1 is not modified and it modifies a the folder Prueba 5

I cant create copy file because its not from library to library. 

Thats the last thing I need to solve. 🙂

I don't really know why that is happening. The folder nº5 is getting the modified when the item i am modifying is the nº1. The attachment but, goes to nº1.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
