adding attachments into an email - word documents and attachments from a MS form

I have a flow that is using Switches, depending on a specific answer to a question one of these will run.

Helloworld2_0-1711553755815.png

a MS word template is populated and converts to a PDF and attaches to an email using

Helloworld2_1-1711554374919.png

Which works fine - tested and the  pdf's come through on email.

BUT, ive forgotton that another question on the form asks the user for any attachments, here is the issue, how do I get the attachments from the form to attach to the SAME email as the PDF?

Id like to avoid building a SharePoint List...

Thank you!!

I am assuming that the form is internal as the users can upload attachments.  If you test the upload of the attachments, do you see them in the flow.  I understand you do not want to use a SP List but if this only had a refrence number and the attachments colum would that be simple enough and could you go in and delete all the data ociasionaly.

Andrew

Thank you for your reply, I can see the attachments in the onedrive - id really rather they were also in the email along with the word document. Any ideas? Thank you.

Okay, so I have looked at the following:

Andrew_J_0-1711624618855.png

Due to the whole of the flow being in one image the above is not easy to see, so if you could attach this CASE in the classic view that would help so I can read it.  But I wll try and comment on this for now.

The responces populate the WORD TEMPLATE, this is saved to ONEDRIVE and converted then saved to SHAREPOINT.  Before the content is then prepared for EMAIL.  But I seem to be seeing TWO get content.  Whilst both should be the same I would only want one file on the system.  There is also no delate file on ONEDRIVE once stored in SHAREPOINT.  But this covers the general issues of this CASE, it might be different for the others.

The files that the user uploads should go to your ONEDRIVE, but I cannot think of a way of tracking these down as there is nowhere in the current flow that refrences this location or the transfer of the files.  That is why I wanted to see if there was a responce in the MS FORM that details the files, this should be in the JSON.  But even if we track this down then it is trying to achive what you want and get those files.

As suggestion I know your adversion ot SP List but if this is totally internal process you could use the data entry method in that, upload the files, create the Word/PDF and then attach this to list item.  But you need to think about the list.  If the files need to be sent to a Doc Lib then you can do this all in one flow.  It will require a little more thought on user permsions to the list or lists.

I tend to find a lot of post on the formn relate to FORMS and using it in this way as it seen to be easy and trying ot learn SP List is a little harder.  But I think SP list is better more robust and easier to use.  And when i started my journey my first flow involved storing the FORMS responces to a SP List which made sense.  As the method of not gives you fields you cannot read with RC???????.

Regards,

Andrew

Thank you kindly, I have created a SL list.

Thank you for your help 🙂

Sorry I had not seen your request for a screenshot I am still struggling with this flow.

A) form allows for attachements

B) flow uses Switch function depending on answer to specific question in form

C) Word template is populated then converted to pdf

D) PDF attaches to email
E) I need the attachments from the form to ALSO attach to the email

Thank you
