flow keeps sending multiple emails when flow is initiated, I cannot figure out what I am missing to stop it screenshots included.

Please help me fix my flow, it works great except it sends multiple emails when triggered.  Here is the flow I built.

No I did not use a template because there really wasn't one that seem to work for what I need.

If you haven't already i'd like to try something. Turn that flow off.

 

I want you to create a second one. But instead of making one that is create or modified, please just make it created. Then add one step and that is to email yourself. Again just an item created.

 

And in your SharePoint list can you add the Created on and Modified on fields (if they aren't already there).

 

Then create a new item and see how many emails you get.

 

If that works fine and you do not get spammed. Then turn that flow off also. Create a 3rd, put back the trigger Create or Modified but again only add 1 step, email yourself. Make sure the Created and Modified dates are showing in the List.

 

After this do the following

1. Create a new one (do not update) and see if you only get one email

2. If you only get one, now go back and update a different row. only update 1 column nothing more. See how many emails you get.

 

If step 2 gives you lots of emails, go back to the list and look at the modified Dates of all the records and see how many match (to the second). So we can verify if its just 1 that changed or a bunch.

 

This will help narrow down next steps.

So I already have a flow that is set up as when an item is created and it works perfectly.  It is the flows that include modified that are sending an email for every single list item.  So for instance, lets say I have 13 entries in my SharePoint list, I only update 1 of those entries.  When the flow kicks off it sends me an email for all 13 entries as if they had been modified, as well as an email for each attachment that is in the list.

But I want to see if the only step in there was immediately the email do you get 13. Because I am trying to figure out how 1 of your actions could be causing all 13 to be modified or it thinks. Humor me hehe please 🙂 

Ok, I will do that now.  So, another thing I noticed are the versions that are getting created in SharePoint every time the flow runs.  I have run a test 4 times with updates on new entries and it shows 119 versions.  I also changed the concurrency control to "ON" and changed it to "1".  It seemed like it worked but now for some reason when I update the status to "Final" or "Update" it goes through until it gets to the "control" function and says it is "false" when in fact it is actually "true" so now it isn't sending an email at all.  UGH!! What the heck am I doing wrong!!

Dang it really seems like there is a rogue flow doing something or an app changing the values.

 

Thats why I also wanted you to look at the Modified and Created Dates. See if the modified times are constantly being updated by something.

 

Or maybe i asked another person, sorry if I didnt ask you, check that as well. Just look at the list without running your stuff.. is its changing alot(updating the modified date)?

Here is an example of the SharePoint versions.  I looked at the version of the list items then did a refresh and you will see new versions when no updates or changes were made.  I also included a screenshot of the version history where there are no updates it just keeps creating versions.

Its weird. It will be interesting to see what the last test brings.

 

It just seems as if somehow they are linked (again I know you said there are no calculated columns etc) so the only other thing that can impact it, based on your stuff, is your own flow.. But I dont see how.

I'll probably drop you an email so we can continue there after this test.

Ok, I created the two new flows with just an email and there are not any multiple runs.  There is something in the apply to each that is screwing me up I think.

That is my thought as well, about the apply to each.

 

 

Can I make another suggestion. Take the new flow that has the Create or Modified Trigger but only emails you.

 

If we can figure out how to write your current one (without the apply to each), I know,even if you need it long term, we can add all your other stuff back.

 

Lets do this in Email until its figured out.

It takes so little for it to be confused into what is an update and what isn't.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
