sharepoint list to populate word docs

Pretty new to flow and I have a semi-working flow right now.  I have a Sharepoint list with names in it.  I have a flow that is triggered when that sharepoint list is changed or modified, then have a "get file content", "create file", and "update file properties".   The flow then grabs a word doc, populates the fields in that word document and saves the new doc to a Sharepoint folder.  That all works pretty well, but my problem is if I add 5 names to the list, the flow only does one name.  How do I make it go through all the names, I assume I need a loop of some kind, but I don't know what that would be?    Also, I would really like it to create one word doc, repeating the static text on five pages with the 5 different names populated on each page.

You need to use the Apply to Each control using the Value of the Sharepoint list as the input with the word doc steps inside it.

I looked at that apply to each function, but it was asking me to "Select an output from previous steps" and there was no drop down to select the list, so I wasn't quite sure what to put there?   Should I just copy and paste the list address in there?

I'm not quite sure I understand what you're trying to achieve... Get File Content and Create File are used to copy and create entirely new sharepoint files, but I thought you wanted to grab a single new listing and add it to a word document whenever the sharepoint list is updated?

 

For that kind of thing you want to use "Get Item" not "Get File Content".

 

So if I'm interpreting your needs properly, I would start the flow like this:

Although if you add a several new names at once, the flow might only trigger for a couple of them, if this is the case you'd want to change "Get Item" to "Get Items" and use a filter to return any new results

I was using the get file content to direct the flow to the word doc that I want to put the dynamic information into.  Essentially a word doc that contains "Hello, my name is {firstname}, {lastname}" and that document gets repeated for everyone in my sharepoint list

ok, so I have a few ideas of how I would achieve this, but they kind of depend on the way the SP list is updated. The problem is that if you update the list with multiple names, the flow will trigger when you add the first new item, but might not run again until after you're finished adding the names, so as far as the flow is concerned, you only added one name.

You could get around this by building a delay into the flow, and getting all the content added during the delay. In the example below, the filter query "Created ge Trigger Window Start Token" will get all of the items created AFTER the flow detected a modification to the file, during the 2 minute delay.

@Eric24 Are you able to provide a screenshot of what your list looks like with the multiple names? From reading through your post, I'm still not sure if you mean you're adding multiple names to a single item (Person column that allows multiple values for example), or if you mean each row in the list contains a single name.

 

Also, it would be great to see what you would expect your Word document to look like after it's been completely filled in (specifically around the names, etc.)

Well right now the sharepoint list is literally just firstname, lastname fields that are text and you can type whatever you want.   The word doc is just a bunch of static text, with two fields in it for first and last name.  Ideally I would like that one page form to repeat in the same word doc.  So if I have 5 names in the list, instead of having 5 word docs I would have one doc with five pages.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
