Audit Log for Inventory App

Hello,

I've recently built an inventory app to track stock. The data source is in a sharepoint list. When editing the quantity of stock, I have also included a + and - button to edit the quantity number of the item. I have also added a text box, to be left for any comments about changes to the stock.

When the submit form button is pressed, it currently updates my data source with the new quantity number. However I want some information to be logged into a separate list, this list will be used to audit changes.

I want the following information (I have setup a sharepoint list with each of these columns) to be added to the audit list.

-Description

-Size

-Before QTY

-After QTY

-Comment

-Updated By

-Updated Date

Does anyone know if this is possible? I'm guessing, I need to write something on the 'OnSubmit', that creates the item in my list, however I'm not clued up fully on how to do this!

Any help would be appreciated!

        Comment: CommentTextBox.Text, // Assuming CommentTextBox is the name of the textbox where the user inputs the comment
        UpdatedBy: User().FullName, // Get the full name of the current user
        UpdatedDate: Now() // Get the current date and time
    }

I'm still very much a beginner, so could you please help with explaining this part?

Description: YourInventoryItem.Description,
Size: YourInventoryItem.Size,
BeforeQTY: YourInventoryItem.Quantity

What is 'YourInventoryItem.Description', how do I find this in my app?

Also, I'm assuming the above will still update the quantity in the original data source as well?

Hi @jap11 ,

You should replace something with yours in @VishalJhaveri provided formula. Such as column name and control name.

In addition, I recommend you insert Patch formula before SubmitForm formula if there is a SubmitForm(FormName) on the Submit button. This is because we need to get Before QTY and we can use ThisItem.Quantity to get it.

Here is an example for your reference.

Patch(
    AuditListName, 
    Defaults(AuditListName), 
    {
        Description: ControlName.Text,
        Size: ControlName.Text,
        BeforeQTY: ThisItem.Quantity, // You can also use Formula on the Item of Form there, such as "LookUp(List,...,Quantity)".
        AfterQTY: Label.Text, // The Label is which shows modified quantity in the Quantity data card currently.
        Comment: ControlName.Text, 
        UpdatedBy: User().FullName, 
        UpdatedDate: Now()
    }
);
SubmitForm(FormName)

Note: Don't forget to use own control name and column name.

Hi @v-mengmli-msft  - thanks again for replying.

It still doesn't seem to be working, I'm thinking I'm maybe not understanding this properly. Maybe I've also not understood the control name? For example with Description, I've gone to the detail screen, found the label that contains the description and then used that, as shown in screenshot, is that correct?

Also included a screenshot of my sharepoint list to show the columns do exist and match up

I've also attached screenshots of each of the errors if that helps see where I'm going wrong

Please try replacing "ThisItem.Quantity" with formula on the Item property of Form and add ".QuantityColumnName" after it.

@v-mengmli-msft sorry not sure what you mean by the formula on the item of property of form? Is there any screenshots I could share with you to help write this out?

I've started again and everything works up until the point of before quantity and after quantity.

Please provide the formula here.

Copy the formula to here and add ".Quantity" after it.
