Auto-fill choice field based on users last selection

Hi!

 

I have a customized form and trying to speed up the item creation process as much as possible for the users. I have a problem with a choice column in which they specify a location. They need to be able to choose location of course but 95% of the time while entering a new item the location will be the same for that given user that given day.

 

So I tried setting a variable on startup to save logged in users email and then, on DefaultSelectedItems property of choice column (datacardvalue), I tried finding that specific users last selection (on previous item/row) and put it as default. I can't get it to work properly.

 

App -> OnStartup (Does this work on customized form?)

Notes:

- About 8-15 people will be editing the same list at the same time, creating their own items and editing items created by others. They all use different locations and sometimes the same location.

- The list will probably go way above 2000 items, so functions need to be delegatable

- Location data (the choices) are not available through office365user catalogue

Follow-up question: On Default property on hour and minute fields I have the Now()-function, but it only works if you refresh the webpage. It doesn't refresh when I click new item. How do I fix that? So time sets accordingly when pressing new item.

Hi @b1t1 ,

Firstly, you need to add Office365Users in your data sources - can you please do this and report what is on the Label. I suspect you have alias emails in your AD, but the issue you have is that you can only retrieve the primary email using either User().Email or the code I sent.

To your second question, Now() is not a "ticking clock" - it is a snapshot at the time it was set by an event (in your case the screen opening with sets the Default of the control). You could try setting a Variable as Now() and then have this as your control Default, but you still need to set this in whatever event/trigger you need it to update.

have you already tried to save the last location data via SaveData? SaveData, LoadData, and ClearData functions in Power Apps - Power Platform | Microsoft Learn

I thought Lookup wasnt delegable?

 

(and why does it start with "{"? Doesn't look like a normal function, can I just put it in DefaultSelected property?)

There are two issues here - firstly are you wanting the user's last choice in this session (not what they did the last time they logged in). Note that SaveData/LoadData does not work in Power Apps when run in a browser (so you cannot get the last session). If it is the last selection (in the current session) you are wanting, then the DefaultSelectedItems can certainly reflect this as I posted. Two things - LookUp is certainly Delegable as a function providing the query within it is also Delegable (the item I posted is). Secondly a Combo Box content is a Table and assuming the Items are a Choice column, then you need to stipulate {Value: DefaultValueRequired}. If the Items are something else, Value may be different, but {} is still required.

  Hmm.. Didn't work. See screenshots. I tried entering several new items but default location was always blank.

Put this on a Label and see if you get the last Location you created

The DefaultSelectedItems syntax is correct - just ensure you have a value to put in there. I assume this is a single choice Combo Box.

Ehm, I don't know how. Label (Text) expects text, not a function, so I'm just getting an error.

But yea, I also suspect that I'm not getting a value from the 'created by' column, or something wrong with creating a variable OnStart (App) - does this work on customized forms? I also tried showing/hiding the created by column in the list and it does contain my user info.

What type of field is Location ? If it is Text (as I assumed from your posts), then that is valid code. If it is a Choice column (which is what I think the issue is)

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
