Cascading Dropdown Or conditional formating

Hi All,

I'm not sure if this is possible.

I have a 2 choice columns.

Event Tier [State, National, International]

Location [state locations]

I want if National or International is selected, then users will have to type in the address. If state is selected, then select from the dropdown.

Location is currently a SharePoint list on its own. And the Event tier is is another list on its own. The Event tier does a VLookup to the Location list in SharePoint.

How would I change the Location to be text, when State/International is selected. It currently set to a dropdown which lists all state locations.

Many thanks in advance😣

Hi @Cel87 ,

Why bother making Location a choice column when you are getting data from another list. Make it a Text column and have two controls (a Text Input and a Dropdown in it). Make the Text Input Visible property (use the atual control name)

EventTierDropdownName.Selected.Value = "State"

and the Drop-down Visible

EventTierDropdownName.Selected.Value <> "State"

The Items of the Dropdown

Sort(
   YourOtherList.Location,
   LocationFieldName
)

The Update of the Data Card

If(
   EventTierDropdownName.Selected.Value = "State",
   YourTextBoxName.Text,
   YourDropdownName.Selected.Location
)

The Default of both would be

ThisItem.Location

Thanks @WarrenBelz,

You've beautifully explained. However, I'm a little confused on on what you mean by Text column?

The Locations list has all text fields. However, the Events tier, a list on its own, does the VLook to the locations list because the events list is what the users will be using.

I have it as a choice column, to minimise incorrect data entry for state selections.

The powerapps is a form ONLY points to the Events tier list.

When you mean create it as a text column, do you mean 'Create a new custom Datacard' which stores the entry into the Locations list? Or should I also be connecting to the Locations SharePoint list as well?

Would the above still apply?

Sorry hope I'm making sense.

@Cel87 ,

Yes you should be connecting to the Locations SharePoint list. Lookup columns in SharePoint do not create any underlying relationship that is Delegable and it is much easier to simply do it in Power Apps. I do not and probably never will use this column type.

Hi @WarrenBelz,

Sorry I to be a pain. But I'm still confused!

My existing form and all the datacards within the form point to the Events List (which includes the Locations column in the list. That locations column is a VLookup to the Locations List (separate list)).

Cel87_0-1702959586137.png

What am I making a 'Text column'? Are you saying I changed my Locations VLookup to be a Locations single line text within the Events List?

If not, how would I do I make a data card within a form point to another sharepoint list for the locations field?

Sorry still new to powerapps.

@Cel87 ,

Basically yes - also the VLookup preference is confusing as this is an Excel expression. You simply connect the other list (locations and get the Items of the drop-down from there) ansd then write back to the Text field in the main list. The Update of the Data Card would be YourDropdownName.Selected.Location.

Thanks @WarrenBelz.

I managed to create a text box within the Locations data card and on the visible function = If(DataCardValue8.Selected.Value = "National Level" || DataCardValue8.Selected.Value = "International Level",true,false)

Which seems to be working. The next move will be figuring out, when the text entry is made to have the populate in the Locations List, but also show up in the Events list in the locations column.

Appreciate all your advice through this. 😊

@Cel87 ,

You do not the the If/true/false - just this on the Visible

DataCardValue8.Selected.Value = "National Level" || DataCardValue8.Selected.Value = "International Level"

the Visible of the drop-down would be (it is visible when the other one is not)

!DataCardValue8.Visible

all of the rest is in my first response.

Hi @WarrenBelz.,

I think I have my lists setup incorrectly.

I have a Locations List - this has all the state locations which gets pointed to for the dropdown.

In my Events list, I have a location column, which pulls from the Locations list.

If I create a text box for manual entry when National/International is selected. How would I put this in the Locations column of my Events List (as this is a VLookup to Locations list)?

Have a I initially set this up incorrectly?

Would I need to change my Vlookup column to a Text column? But within Powerapps, have the locations Datacard pull the states from the locations List, but have the results stored in the Locations column of the Events List. Is this possible?

Hope I'm making sense. 😣

@Cel87 ,

Please refer to this as a Lookup column (VLookup is Excel). These columns serve little or no purpose in Power Apps and come with a number of restrictions. Simply change to a Text column and connect the other list, then the Items of the dropdown from the other list - it is all in my initial post.
