Custom Sharepoint List item not working for users who don't have acces to the list. Unable to open item link in powerapps form

Please help, I don't want to grant permission to the whole list for some users, We only want to share with them only list items when needed. Only to get some info on a given item. however, the users can't access the list item in power apps form like they would do for the plain SharePoint list item row... . they get this error,

 

This app isn’t opening correctly . It looks like you don’t have access to this app. Ask its owner to share it with you.

 

Again, I don't want to give these users any permission to the whole list , I want them to view/edit the items that's shared with them in the power-apps form just like plain list item. The problem is powerapps form is not opening the list item link . The list is customized in powerapps.

Firstly as noted before, you cannot access data in SharePoint from PowerApps without having permission in SharePoint to access the data. it is the same with any data source connected to Power Apps.

You can however set a custom permission level in SharePoint and disable “View Application Pages” and the user cannot navigate to a SharePoint view.

There is no "item level" authentication in SharePoint other than restricting users to items they created, so unless this is what you want to do, you need to share the list with the user for them to be able to open the Power App.

I think it's not authentication issue , As you can see on the screenshots in both cases UserB can access an item if he clicks the list "Emoplyee1" , the only problem is why he can't open/access the customized PowerApps form for a given item link? (PicG) And only be able to open the plain SP list form(PicB)

Note: 1. UserB has no permission to the Site/List. We don't want to give permission to the list/site . 

          2. The Item link shared via email " Copy link" or " share" on the list tab. 

Need: We want users to be able to open a SP list item link in PowerApps form regardless they've permission to the list or not. 

Ideally this is what I am looking for in the screenshot without granting permission a user to the whole list, but in this case user has access to the list

I am a little lost here in what exactly you are wanting the user to be able to open. It looks like a SharePoint link (as distinct from something in Power Apps)?

Also if a user needs to open a Power Apps integrated form, generally they need access to all lists connected to the app - is this what you are asking?

Yes, this is the answer in red , except I don't want to grant them access to the list. But I want them to be able to open list item in Powerapps form , upon receiving a direct link to the item .

Hello Warren,

When you say "it is the same with any data source connected to Power Apps", does it mean that if PowerApps is writing to a SQL database every user will need to have a login to that database?
Or will it use the login defined in the datasource connection in PowerApps?

Hi @PabloD ,

I am not an SQL user, but I would certainly imagine that the connector (which Power Apps creates based on the user's credentials) would require them to be able to access the data source. Also with SQL as it is a Premium Connector requires the user to have a per-user licence.

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
