Data not getting recorded

Hi Guys, can we ask for your help regarding an issue wherein the data is not getting recorded properly in our Sharepoint List?

 

We have created an app wherein it acts like a form and feeds the data in our Sharepoint List. This is being used by different users that they feed in data in daily basis. As we go along we noticed that some of the entries of other users are not getting recorded, there will be days that it will be okay but most of the time it's not. 

 

I am not sure if this is due to security or how the SP list is shared. Currently I have created a group for users gave them a permission level of 'Contribute' in our Sharepoint. Was that enough or are we missing something that causes these data missed?

No - leave off the last Collect to SharePoint. Do you understand what I am trying to get you to do?
I am trying to have you do some testing without you having to write the data to SharePoint every time.

When you run the code, you will have the data that would have been written in a Collection called colFiltered and then maybe you will be able to try different scenarios to see if all the data is in the Collection. If it is not, you will have to work out what you did differently. If it is always there, then there is something wrong with the Collect (to SharePoint) process. We need to work out which bit of the code is not working.

From a permission perspective you will need to give the user "Contribute" access which you have already done in SharePoint.  If you are using a Canvas App, the app will need to be Shared with the users that are expected to use the app.  Also the individuals using the app will need access to the data sources tied to the app as seen below.  I have attached a couple of articles to show how to connect the App to SharePoint Online so the form will be automatically created, and how to effectively share the canvas app to end users.  I hope this helps resolve your issue.  If so please mark the post as the suggested answer.  Thanks!

In sharing part we already did that. Canvass App is already shared to respective users, as well as our Sharepoint Online. The weird part is that there are times that the data entry gets recorded properly but most of the time not. Please note that all of the expected users were able to open the Canvass App and use it properly. We are at lost on what is the reason why this is not getting recorded in our Sharepoint List properly. 😞

Apologies for multiple replies, I checked our Canvass App and saw that the Data Souce is properly shared as well.

I'm not sure if this is an issue but I have found that many intermittent problems with SharePoint have to do with delegation. You may want to check to make sure that the formulas you are using to display and enter your data are not being limited by the data row limit in Advanced settings.

I checked the Data Row Limit and it was set to 500. What is the advisable row limit that I should use here?

 

My App has:

  • 51 text box that the users fill in, most of the times they are not really using it all
  • 1 calendar box
  • 1 dropdown list
  • Once they fill in they click on submit. The formula that I'm using into it is:

I'm thinking that maybe this is the reason of it? or because I am using gallery?

Hi @Krix 

Increase the data row limit to 2000 and see if it solves the problem.  There should be no negative effect of increasing the limit to 2k.

You end up with the Collection 'Site - Per Employee Data' OR is this the SharePoint list name and your photo did not show the top of the name? If the second (and I suspect it is), try this for last bit in Collect

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
