Default Value of a Text Input

Hey everbody

I have a form in an app where users can send executive comments. Once they submit i store the sent entry in a gallery (Sharepoint as datasource)

I want to set the default Value of the Exec Comments field (multiline of text column) based on possible entries from the previous month.

2024-01-09_10h15_38.png

The field should set the default value when:

The Created by column matches the current logged in user

The Business Area matched the Business area from the previous month

The Legal Entity matches the Legal Entity from the previous month

The MonthYear entry from the Gallery is Todays Month -1

As a default Value i need the input from the Exec Comments.

If any of this comparrisons do not match the text input should remain blank

I tried a few things but until now i was not able to make it work.

For any questions, please ask.

thanks in advance

this works for me.

It shows me a delegation warning but its ok for my use case:

LookUp(
    'Executive Summary Comments',
    LegalText = DataCardValue3.Selected.Value &&
    BusinessText = DataCardValue2.Selected.Value  &&
    Text(MonthYear, "mm/yyyy") = Text(DateAdd(DataCardValue1.SelectedDate, -1, TimeUnit.Months), "mm/yyyy")
).'Exec Comments'

Hi @mmbr1606,

Do you want to append comments to the textbox before you entry new based on some conditions?

Could you please tell me that if the possible entries from the previous month means multiple records?

If there are multi records matched with your condition, please set the Default property as below:

If(!IsEmpty(
    Filter(list_name,Month(MonthYear)=Month(Today())-1&&
                     'Created By'.Email=User().Email&&
                     'Business Area'.Value=Combo.Selected.Value&&
                     'Legal Entity'.Value=drodpown.Selected.Value
    )
   ),
   Concat(Filter(list_name,Month(MonthYear)=Month(Today())-1&&
                     'Created By'.Email=User().Email&&
                     'Business Area'.Value=Combo.Selected.Value&&
                     'Legal Entity'.Value=drodpown.Selected.Value
    ),'Exec Comments',","
   )
  )

Qi

hey @v-qiaqi-msft

thanks for your reply. there should always be only 1 entry from the previous month from every user. Does this effect the code above?

The Business Area is a choice field and the Legal Entity column is populated by a collection.

Hi @mmbr1606,

Actually, not.

Of course, you could replace the Filter() function with the LookUp() function, and replace the IsEmpty() with IsBlank() function.

Best Regards,
Qi

besides the delegation warning i have no issue here but...

when i save the entry i do not see any comments when i look at the entry directly in the app, when i have a look at the sharepoint i do see what i put in there. also when i send a comment for december with exec comment 123 i do not have the defaultvalue with the same comment when i choose the same Business Area and Legal Entity. Is it the problem, that the fields are on the same screen and i only want to show the default when the same selections are made as the previous month?

HI @mmbr1606,

Not sure how you configure your Gallery so that you could not see any comments after you save the entry, generally Gallery will display all the items once you save new entry unless there are more than 2000 items in your gallery, which is the delegation issue.

Further more, I think you should troubleshoot one by one based on the Filter(), use a DataTable or another Gallery to check if there is record returned by your Filter() function.

Also, not sure how you configure the data type of each column, the formula I provide is just a sample, and each column I refer to Value is assumed as a Choice type.

Good luck.

Best Regards,
Qi

thanks for your input again.

somehow the value must be there cause its in the sharepointlist too. somehow its just not visible in the text input control

i normally dont do this but @WarrenBelz, do you have any idea on how i could achieve this?

this works for me.

It shows me a delegation warning but its ok for my use case:

LookUp(
    'Executive Summary Comments',
    LegalText = DataCardValue3.Selected.Value &&
    BusinessText = DataCardValue2.Selected.Value  &&
    Text(MonthYear, "mm/yyyy") = Text(DateAdd(DataCardValue1.SelectedDate, -1, TimeUnit.Months), "mm/yyyy")
).'Exec Comments'
