Email a new form submitted and direct to a specific page to process.

Hi Guys, Struggling after watching online for a solution. I have a form that gets submitted into sharepoint list( all good) and flows work all good. I then need to notify the account department to go to that form to process and update on another page ( Processing page) or same page if possible instead of going to a sharepoint list and submit the update as complete (Flow works when the status of the form changes) so all good there.

 

Not sure if galeries are the right solution here, but need a second page if putting in a galery to show all data and then a section (edit form) where accounts can update fields and click complete.

 

How can I send the correct link in Flow to Accounts team that a new form has been submitted and needs processing. I would like to give the Accounts team a link to the specifc form submitted and go directly to the processing page to update form and submit updates. This will then trigger further flows based on the dtata they select (like apporved / rejected)

 

Can flow do this or will I have to use the "Sendmail" function in Powerapps to give the correct link

 

Struggling with youtube guys like Shane young and Karlstrom for a solution.

Do you want to send a direct link URL to your Account Team to edit the submitted form data within your canvas app?

 

Based on the needs that you mentioned, I think the combination of PowerApps and Power Automate could achieve your needs. You could consider add a Processing Screen in your canvas app, then within this screen, add a Edit form, connect this Edit form to your SP List.

Flow's configuration as below:

Add the "When an item is created" trigger of SharePoint as the Trigger in your flow. Then within the "Send an email (v2)" action, add a Hyperlink within the Body field, Link Title set to "App URL Link", Link Target field set to following:

https://apps.powerapps.com/play/3f5d4d49-b726-46b3-966b-8dfcbddb7f3b?tenantId=xxxxxxxx-f6a5-41a2-xxxx-9785a9d6c706&ID=@{triggerBody()?['ID']}

Note: Replace the App URL Link (marked in Yellow color in above screenshot) with your own actual canvas app URL Link. Append a ID parameter with your App URL Link as above.

 

Within your canvas app, set the OnStart property of App to following:

Set(ItemID, Param("ID"));
If(
   !IsBlank(ItemID),
   Navigate(ProcessingScreen);EditForm(EditForm2)   // EditForm2 represents the Edit form in your Processing Screen
) 

Within your ProcessingScreen, set the Item property of the Edit form (Edit form 2) to following:

If(
   !IsBlank(ItemID),
   LookUp('Your SP List', ID = ItemID)
)

set the OnSelect property of the "Submit" button in your ProcessingScreen to following:

SubmitForm(EditForm2)

This does make sense and I will try this solution op Thursday and udpate. Thanks for the great support. I have a few flowsd working already that trigger from the sharepoint list so familiar with updating.

Hi @v-xida-msft ,

 

Thank you very much for this. I still have some error messaages on the "processing Screen" Where the AP team go back in and update fields when they process the form & click "Submit" to update the library. I am getting a formula error, but not sure why.  Is it regarding the fielf you are calling "ID".  Do I need to reference the actual sharepoint list ID unique number.

 

See attached image.

 

Second problem is the email which sends a link to the direct AP team to process a new form submitted. Is this the same problem of referencing "ID" of the actual item submitted to the sharepoint list.

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
