Garbage values in Sharepoint List - Confusing a lot

Hi team,

i have sharepoint list on which the items will be created based on the Master list. to achieve this in canvas app, i have dropdown for class and campus and date picker. Based on this filter, formula looks for the data in my master list. The formula results will be written into my new list OnSelect of a Button control.

My issue is, when i generating attendance for the first time on my selected date from Date Picker, this works good. However if i do it second, sharepoint is taking some data and updating my secondary list again. I am not sure why.

My Code on OnSelect for "Generate" button :

Collect(
cMaster,
Filter(
SAL,
campus.Value = ddcampus_home.SelectedText.Value && class.Value = ddclass_home.SelectedText.Value
)
);
If(
IsEmpty(cMaster),
Notify(" No students exists for the selected criteria in Master list. Please add"),

With(
{
wTemp:
With(
{
wSAL:
Filter(
SAL,
campus.Value = ddcampus_home.SelectedText.Value &&
class.Value = ddclass_home.SelectedText.Value
)
},
AddColumns(
wSAL,
"CampusValue",
campus.Value,
"ClassValue",
class.Value
)
)
},
ForAll(
wTemp As aPatch,
With(
{
wID:
LookUp(
SALD,
student_name = aPatch.Title &&
class = aPatch.ClassValue &&
campus = aPatch.CampusValue &&
Attendance_date = adate_home.SelectedDate

).ID
},
If(
IsBlank(wID),
Patch(
SALD,
Defaults(SALD),
{
student_name: aPatch.Title,
class: aPatch.class.Value,
campus: aPatch.campus.Value,
Attendance_date: adate_home.SelectedDate

}
),
Patch(SALD, LookUp(SALD, student_name = aPatch.Title && campus = ddcampus_home.SelectedText.Value && class = ddclass_home.SelectedText.Value),
{student_name: aPatch.Title,
class: aPatch.class.Value,
campus: aPatch.campus.Value,
Attendance_date: adate_home.SelectedDate
})
)
)
)
));

So, i am expecting on first time, if the Filter data are not there in collection, it must patch SALD with the values.

When i click the Button second, for the same date , same campus and same class, this should not create items in my SALD list and should not do anything.

On my first time, the data is populated properly with today date, created column and modified column is proper

When i click the Generate button second time, created date is 1st Jan, and modified date is today. Any clues.

I am indexing my both list by Campus, class and attendance date.

@venka91 ,

Sorry but I am pretty much out of ideas here - it should work - one last thing - do this

Patch(
   SALD,
   {ID:wID},
   {
      student_nam : aPatch.Title,
      class: aPatch.class.Value,
      campus: aPatch.campus.Value,
      Attendance_date: adate_home.SelectedDate
   }
)

instead of the lookup.

Hi @venka91 ,

That code looks familiar . . . you can do it a lot shorter as below (also note SelectedText is deprecated and you should use Selected). Please also try to use Format Text and post in a Text Box as below as it makes far easier work of reading and if necessary correcting code.

With(
   {
      wTemp:
      With(
         {
            wSAL:
            Filter(
               SAL,
               campus.Value = ddcampus_home.Selected.Value &&
               class.Value = ddclass_home.Selected.Value
            )
         },
         AddColumns(
            wSAL,
            "CampusValue",
            campus.Value,
            "ClassValue",
            class.Value
         )
      )
   },
   If(
      IsEmpty(wTemp),
      Notify(
         " No students exists for the selected criteria in Master list. Please add"
      ),
      ForAll(
         wTemp As aPatch,
         With(
            {
               wID:
               LookUp(
                  SALD,
                  student_name = aPatch.Title &&
                  class = aPatch.ClassValue &&
                  campus = aPatch.CampusValue &&
                  Attendance_date = adate_home.SelectedDate
               ).ID
            },
            Patch(
               SALD,
               If(
                  IsBlank(wID),
                  Defaults(SALD),
                  {ID:wID}
               ),
               {
                  student_name: aPatch.Title,
                  class: aPatch.class.Value,
                  campus: aPatch.campus.Value,
                  Attendance_date: adate_home.SelectedDate
               }
            )
         )
      )
   )
)

but the question you are asking - Created is not (and cannot be) controlled by Power Apps, but by SharePoint automatically when a new record is created by any means  - (Power Apps, Power Automate or by the SharePoint interface). I think you need to look into SharePoint here - have you looked at the actual full date/time in that field?

Yes, i looked into the sharepoint.

This issue happens when the "Generate" button is clicked more than once.

Because the modified column is the actual date and time, the user created the attendance.

If the Button clicked twice, it is allowing duplicates, more over the created date goes to some random date.

venka91_0-1641711687501.png

The actual record is first created at morning 05:53.

Another user who logged in around 11:15 again generated the attendance. So this is generated attendance one more time and also used some garbage dates in created field. However Modified column matches to the time when user logged in generated the attendance.

@venka91 ,

Are you saying the issue just the wrong created Date or it is also duplicating entries?

 it does the both 😞

Hi @venka91 ,

The duplication would be because the SharePoint list has not had the time to refresh - it is generally bad practice, but if you put

Refresh(SALD)

at the end of the code, it should solve that one. As I said before however the date is nothing to do with Power Apps (certainly nothing you can control with any code).

But how ? Because we are patching the datasource only through powerapps.

But if you see the time difference, the first update was at 05:53 and the second update was at 11:15,

I do not think Sharepoint needs this much time to  refresh.

So basically our code, should not patch the same record one more time at 11:15 as the data for filter values already exists.

It is creating duplicates, and placing random date on the latest patched record in my observation.

@venka91 ,

I thought you meant pushed twice straight away (hence the refresh time). Where are you getting your student name from (what is the control name on the screen) ?

Hi Warren the With formula what you have suggested is the only formula on my Generate button Onselect.

This pulls the record based on date picker , class drop-down and campus dropdown and patches the record filtered from SAL (masterlist) to SALD(2nd list)

Hi @venka91 ,

So you are collecting the Student name in the collection? Also did you try the code I supplied - I need to know what code is producing the result.
